Description
General responsibilities
- Ensures compliance with global and local guidelines for all logistics processes in programme.
- Process and coordinates purchase requisitions within the logs department.
- Establish and negotiate contract terms and conditions and maintain supplier relationships.
- Processes contracts with local and international suppliers, leased property landlords and partners
- Prepare and maintain purchasing records, reports and price lists.
- Assists departments with procurements plans and its executions.
- Oversees fleet activities and respective reporting.
- Ensures that stock system is controlled and store keeping is done according to NPA guidelines.
- Ensures regular asset inventory verifications are done and reported upon
- Assist in booking of travel and accommodation requirements for staff and official visitors.
- Ensures all vehicles and capital equipment are insured according to NPA’s, donor’s and local regulations.
- Ensures all logistics operations are fully documented and filing system is well organized and documents are uploaded to SharePoint.
- Other duties and tasks assigned by the immediate supervisor.
Specific duties
- Implement regular monthly reporting systems of all logistics activities inclusive of updated inventory.
- Evaluates the performance of suppliers, oversees the customs clearing process and coordinates the processing of assigned customer orders.
- Responsible for the timely procurement and delivery of high quality, low-cost products, and the proper processing of assigned customer orders
- Provides trainings of new logistics staff in Agresso and NPA standard procedures.
- Conducts onboarding of new NPA staff members.
- Keep accurate and up-to-date inventories of any stock held and replenish and distribute them in line with the programme’s requirements.
- Ensures that stock control and asset verifications are done according to guidelines.
- Ensures to keep accurate and up-to-date vehicle history files, including detail of all servicing, repairs, logbooks and fuel records.
- Ensures collection and distribution of all logs related documentation as requested by LM/DLM.
- Provides logs related reports as requested by LM/DLM.
- Ensures seamless functioning and work discipline of field office logs. department.

Education:
University degree/diploma in a relevant field
Good knowledge of English and Ukrainian - both speaking and writing
Good computer skills
Experience:
Three years or more experience within the humanitarian sector
Two years or more experience in the relevant logistic field
Previous work experience in insecure environments and able to work effectively under difficult conditions.
Experience with ERP or similar software for procurement, warehousing and fleet management.
Experience in importation and customs procedures.
