POSITION OVERVIEW:

We are seeking a Documentation Management Lead to support the Design & Construction (D&C) Project Controls and Site Services organization for a major capital program. This role will provide leadership and oversight of project documentation, information management, document workflows, and project records across multiple engineering, construction, commissioning, and site-services workstreams. The ideal candidate brings strong experience managing documentation within complex pharmaceutical, biotechnology, life sciences, or other highly regulated capital projects, with hands-on experience using Autodesk Forma and related Autodesk platforms. This individual will serve as a key connection point between Project Controls, Engineering, Construction, contractors, site teams, and project leadership to ensure project information is accurate, accessible, current, and managed throughout the project lifecycle.

This position is internally classified as a Sr. Project Coordinator and will have a primary focus on reliability engineering.

WORK LOCATION:

Travel to client sites may be required up to 100%, based on project demands and client expectations.

KEY RESPONSIBILITIES:

  • Lead documentation management activities across D&C projects and site-services workstreams.
  • Establish and maintain project documentation standards, workflows, naming conventions, metadata, and filing structures.
  • Manage document lifecycle from creation and review through approval, issuance, revision, archival, and turnover.
  • Serve as the primary documentation/information-management point of contact for Project Controls and Site Services.
  • Administer and support Autodesk Forma workflows and project information management.
  • Coordinate documentation and information exchange between engineering firms, construction contractors, vendors, project controls, commissioning, and site stakeholders.
  • Develop and maintain document registers, transmittals, drawing/document logs, review cycles, and status reports.
  • Ensure documentation aligns with project controls requirements, contractual requirements, and client standards.
  • Monitor document deliverables against project schedules and identify gaps, overdue items, and potential impacts to project execution.
  • Support integration of documentation management with project scheduling, cost controls, change management, procurement, and construction management processes.
  • Establish dashboards and reporting to provide leadership visibility into documentation status, aging, approvals, and outstanding deliverables.
  • Support project closeout and turnover activities, ensuring complete and properly indexed project records.
  • Identify opportunities to improve documentation workflows, reduce manual processes, and increase visibility across project teams.
  • Provide guidance and mentoring to document control and project support personnel.
  • Partner with Project Controls leadership to develop scalable documentation-management processes across the site/program.

QUALIFICATIONS AND REQUIREMENTS:

Education:

  • Bachelor's degree in Engineering, Construction Management, Information Management, Business, or related field; equivalent experience may be considered.

Technical Experience:

  • Experience supporting Design & Construction, Engineering, Construction Management, or Facilities projects.
  • Hands-on experience with Autodesk Forma is required.

  • Strong understanding of construction/project documentation workflows and document lifecycle management.

  • Experience working with engineering drawings, specifications, submittals, RFIs, change documentation, turnover packages, and project records.

  • Experience coordinating documentation across multiple internal and external stakeholders.

Knowledge, Skills, and Abilities:

  • Strong understanding of document version control, metadata, approval workflows, and document quality requirements.
  • Advanced Microsoft Office skills, particularly Excel, SharePoint, and Teams.
  • Strong understanding of construction/project documentation workflows and document lifecycle management.
  • Experience working with engineering drawings, specifications, submittals, RFIs, change documentation, turnover packages, and project records.
  • Experience coordinating documentation across multiple internal and external stakeholders.

Preferred Qualifications:

  • Experience within pharmaceutical, biotechnology, life sciences, or GMP-regulated environments.
  • Experience supporting large-scale facility construction, expansion, retrofit, or manufacturing site programs.
  • Experience with Autodesk Construction Cloud, BIM/CDE environments, or other Autodesk information-management platforms.
  • Experience integrating documentation processes with Primavera P6, MS Project, or other project scheduling tools.
  • Familiarity with project controls processes including schedule, cost, change control, risk, and reporting.
  • Experience supporting project turnover, commissioning, qualification, or operational readiness documentation.
  • Experience developing document-management procedures, SOPs, workflows, and governance standards.

COMPENSATION:

The expected salary range for this position is $100,000 to $110,000 yearly. Actual pay will be determined based on experience, qualifications, geographic location, and other job-related factors permitted by law.
