Job Summary

This position reports directly to the Director of Safety and Security Services. Position is responsible for providing administrative and project support to the Safety Services Department. Assists with daily office function to include filing, correspondence, and utilization of databases. Manages and monitors safety and emergency preparedness programs and other programs as needed. Provides ongoing customer service and support to internal and external contacts. Collects data and reports on safety, security, and emergency preparedness events / incidents. Handles confidential and time sensitive materials. Occasionally directed in several aspects of the work. Gaining exposure to some of the complex tasks within the job function.

Job Description

Essential Functions:

  • Answering incoming phone calls; ascertain purpose of calls and direct calls to relevant staff or voicemail.

  • Scheduling Appointments and managing a calendar.

  • Maintenance, formatting, and updating information on website as needed.

  • Maintains supply inventories and processes requisition and purchase orders, research and processes accounts payable and / or accounts receivable / interacts with vendors and contractors.

  • Develops and implements plans, procedures, and protocols to maintain awareness regarding safety, security, and emergency management.

  • Provides resources and assistance with various departments to provide emergency management support to company resources.

  • Develops and circulates instructional materials to educate and inform personnel about potential safety, security, and emergencies and strategies to minimize risk.

  • Participates in educational in-services and department meetings to continually gain sufficient knowledge of equipment that is utilized throughout the safety, security, and emergency preparedness programs.

  • Designs, develops, and evaluates safety and emergency management curriculum and related training, policies, and procedures.

  • As directed provide mentoring/coaching to address additional training needs.

  • Provide recurrent training needs.  Adapting local training materials to meet the requirements of a variety of functions such as but not limited to accident / incident investigations, emergency roles and responsibilities, safety data sheets, equipment use and etc.

  • Supports the annual mandatory Safety Training course content review.

  • Serves as the system Respiratory Protection Program coordinator.

  • Provides administrative support for the system hazardous material and regulated medical waste (RMW) collection, processing and disposal processes.

  • Supports the system OSHA complaints, investigations, and associated correspondence.

  • Supports and facilitates the system Health and Safety Committee.

  • Provides administrative support to the Rapid City Hospital Environment of Care Committee as needed.

  • Develops and facilitates the execution of Emergency Operations Plans.

  • Evaluates workplace violence (WV) data and assists in the develop strategies to mitigate WV risks.

  • All other duties as assigned.

Additional Requirements

Required:
Education - Bachelors degree required - equivalent combination of related education and/or experience may be considered to satisfy this requirement

Certification - Driver's License - State

Preferred:
Experience - 1+ years of Microsoft Office Word Excel and PowerPoint; 1+ years of Education Trainer Experience; 1+ years of Security/Safety Experience

Physical Requirements:
Very heavy work - Exerting in excess of 100 pounds of force occasionally, and/or in excess of 50 pounds of force frequently, and/or in excess of 20 pounds of force constantly to move objects.
