Position Summary
The Welcome Center Manager leads sales, visitor engagement, and daily operations for the Chambers Creek Welcome Center. As the community’s primary ambassador, this role engages prospective buyers, communicates the Chambers Creek vision and lifestyle, qualifies and nurtures leads, and builds relationships with Realtors and community partners to support home sales.
The manager recruits, trains, schedules, and supervises the onsite team; establishes service and operating standards; and ensures guests receive accurate information and are promptly connected with the appropriate builder or internal partner. The role also serves as the primary liaison among the Welcome Center, builder sales teams, and Chambers Creek Golf.
Additionally, the manager maintains accurate, timely reporting on community sales, prospect visits, leads, tours, inventory, incentives, builders, and available lots. This includes gathering information from builder sales teams, resolving discrepancies, and providing weekly reports and market insights to support sales, development, and marketing decisions.
This is a full-time role requiring flexibility to work occasional evenings, weekends, and holidays for events or outdoor activations.
Requirements
Welcome Center Operations and Team Leadership
- Recruit, onboard, train, schedule, supervise, and coach the onsite Welcome Center team.
- Establish clear service standards, daily responsibilities, operating procedures, staffing coverage, timekeeping expectations, and performance accountability.
- Maintain a guest-ready Welcome Center with current collateral, accurate displays, appropriate supplies, organized work areas, and consistent opening and closing procedures.
- Ensure guests receive a warm, informed introduction to Chambers Creek and that inquiries, appointments, and requests for additional assistance are promptly directed to the appropriate builder or internal partner.
- Manage and prioritize golf cart & boat tours, including scheduling, route standards, team training, tour tracking, and consistent presentation of community amenities, homes, builders, and key selling points.
- Maintain the appearance, organization, functionality, and day-to-day efficiency of the Welcome Center.
Sales Reporting, Lead Nurturing and Market Intelligence
- Own the accuracy and timeliness of information entered in CRM and Sales Reporting System, including traffic, tours, leads, starts, sales, closings, available inventory, incentives, builder availability, and lot status.
- Gather weekly information from builder sales teams, research discrepancies, and reconcile data before reporting so the Sales Reporting System remains the dependable source for community sales and inventory information.
- Maintain accurate lead-capture and activity records, monitor prospect follow-up and any builder handoffs, and support a consistent sales process from initial inquiry through referral.
- Prepare and distribute regular reporting on sales, closings, traffic, tours, inventory, buyer activity, builder activity, custom homesite interest, and other community measures.
- Identify reporting gaps, sales trends, risks, and follow-up needs and communicate actionable observations to leadership.
- Stay current with local market conditions, competitor activity, buyer demographics, builder performance, and community sales pace to provide useful onsite perspective to development, sales, and marketing teams.
Builder, Realtor and Community Engagement
- Serve as the primary onsite liaison to builder sales teams, maintaining regular communication and supporting prospect routing, referrals, follow-up, and community information needs.
- Onboard new builder representatives and provide training on community processes, reporting expectations, sales reporting system, amenities, and available resources.
- Build productive Realtor relationships through tours, community overviews, timely communication, hospitality, and consistent follow-up.
- Partner with the marketing team to develop and manage the community's Realtor program and lead Realtor advisory and board activities.
- Provide accurate, current community, builder, homesite, amenity, inventory, and program information to guests, Realtors, builders, and internal teams.
- Represent Chambers Creek at appropriate Chamber of Commerce meetings, nonprofit events, fundraisers, community gatherings, and other relationship-building opportunities.
Marketing Events and Cross Functional Support
- Partner with the marketing team on onsite events, campaigns, Realtor initiatives, community tours, and other programs that support traffic, engagement, and the Chambers Creek brand.
- Coordinate Welcome Center readiness, staffing, materials, registration, setup, and onsite support for community events and special visits.
- Maintain current knowledge of development activity, builders, homes, homesites, amenities, resident programs, and community policies so information shared onsite remains accurate.
- Work closely with Residential Development, Sales, Marketing, Lifestyle, Golf, community association management, and other onsite teams to resolve issues, clarify ownership, and provide a consistent experience.
- Share guest, builder, Realtor, resident, and member feedback with the appropriate teams and recommend improvements to programs, communications, and onsite processes.
- Oversee Tom's Corner shop standards, including appearance, merchandising, inventory levels, vendor orders, sales monitoring, and professional handling of customer questions, returns, and concerns.
- Complete assigned onsite priorities and administrative responsibilities in a timely, organized, and accurate manner.
Qualifications
- Bachelor’s degree in business, Hospitality, Marketing, Real Estate, or a related field preferred; equivalent relevant experience will be considered.
- Three to five years of experience in real estate, hospitality, customer experience, sales support, community operations, or a related environment.
- Demonstrated experience recruiting, training, scheduling, supervising, and coaching an onsite or customer-facing team.
- Strong attention to detail and demonstrated ability to maintain accurate information across the sales reporting system, CRM platforms, Chambers Creek software operating systems, Microsoft business, and other systems.
- Strong written and verbal communication, customer service, relationship-building, and problem-solving skills.
- Ability to work independently, balance multiple priorities, meet commitments, and deliver accurate, timely, and well-organized reports.
- Professional, outgoing, and service-oriented presence with the ability to represent Caldwell Companies effectively with guests, residents, builders, Realtors, and community partners.
- Availability to work onsite, including occasional weekends and appointments or events outside regular business hours.
