Shaw Integrated Solutions (SIS) serves some of Shaw Commercial's largest national and strategic accounts by providing turnkey flooring solutions from project conception through completion. Supporting customers across the retail segment, the SIS team manages flooring projects, product sourcing, installation coordination, invoicing, and customer support, creating a seamless experience while helping Shaw secure and retain long-term annuity business.​

The SIS Account Coordinator serves as a critical operational partner to Account Managers, supporting large retail accounts through project coordination, account administration, proposal development, order management, invoicing, reporting, and customer support activities. This role helps ensure projects are executed accurately, efficiently, and on time while maintaining exceptional service levels for both internal and external customers. Project Coordination & Account Support

  • Support Account Managers in responding to customer requests, proposals, quotes, and project opportunities.
  • Coordinate flooring projects from proposal through invoicing and project closeout.
  • Set up and maintain customer accounts within Winbid and other business systems.
  • Verify project scopes, specifications, pricing, and supporting documentation.
  • Assist with proposal development, pricing requests, and project-related administrative activities.
  • Support assigned Account Managers and provide account coverage during absences.
  • Develop working knowledge of assigned customer accounts and business requirements.
  • Build strong relationships with Account Managers and internal business partners to ensure successful project execution.

Order Management & Operational Excellence

  • Support daily order processing activities, including obtaining customer purchase orders and project details.
  • Upload customer purchase orders and generate system purchase orders as needed.
  • Coordinate with Customer Service, Operations, Transportation, suppliers, and installers to ensure accurate project execution.
  • Track material orders, inventory allocation, shipment status, and delivery timelines.
  • Monitor and manage designated account inventory and blanket stock allocations.
  • Ensure project details are communicated accurately across stakeholders.
  • Maintain project records and documentation in accordance with company requirements.
  • Support account-specific reporting and operational requests.

Financial & Project Administration

  • Process payable entries for Shaw materials, installation services, and third-party suppliers.
  • Generate customer invoices and support receivables and billing activities.
  • Monitor project financial performance and investigate job variances when identified.
  • Support collections activities, including past-due follow-up and documentation within company systems.
  • Submit project closings and partner with Operations teams to ensure timely completion of billings, payables, and closeout activities.
  • Assist with claims resolution, project documentation, and customer support requests as needed.
  • Maintain accurate project records and contribute to continuous improvement efforts.

Customer Service & Collaboration

  • Develop and maintain professional relationships with internal and external customers, suppliers, and business partners.
  • Deliver high-quality customer support in a fast-paced, service-oriented environment.
  • Communicate effectively with customers, Account Managers, Customer Service, Operations, Transportation, and installation partners.
  • Demonstrate a sense of urgency while balancing multiple priorities and deadlines.
  • Collaborate closely with teammates to support business objectives and customer satisfaction.
  • Contribute to a team culture built on accountability, partnership, communication, and continuous learning.

Position Requirements

  • High School Diploma or GED required.
  • 3+ years of experience in administrative support, account coordination, customer service, project coordination, operations support, or related experience.
  • Ability to manage multiple priorities in a fast-paced environment while maintaining a high degree of accuracy.
  • Strong organizational, problem-solving, and time management skills.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office applications.
  • Ability to work independently while exercising sound judgment and decision-making.
  • Ability to work in a hybrid environment, including approximately three days per week in-office.

Preferred Experience

  • Flooring, commercial construction, building products, interiors, or related industry experience.
  • Experience supporting projects, customer accounts, order management, logistics, or operational workflows.
  • Experience working with large national, strategic, or multi-location customer accounts.
  • Customer service, concierge, customer care, or account support experience.
  • Knowledge of inventory management, invoicing, collections, or project administration processes.
  • Experience coordinating multiple stakeholders across business functions.
  • Knowledge of Shaw systems, Winbid, ShawNow Live, Vista, or other business platforms is beneficial but not required.
  • Prior Shaw, flooring manufacturer, distributor, dealer, contractor, or competitor industry experience is a plus.
