POSITION SUMMARY:


The seasonal Volunteer Income Tax Advisor (VITA) Supervisor is responsible for program coordination and various administrative duties associated with the Volunteer Income Tax Clinic This includes maintaining appropriate state and Federal compliance, developing and implementing action plans, supervising staff, promoting program offerings, and ensuring outstanding service to our consumers.

RESPONSIBILITIES:

· Coordinate and oversee the day-to-day operations of the Volunteer Income Tax Assistance (VITA) program with limited oversight.

· Ensure compliance with federal, state, and local tax laws, as well as VITA program and Agency requirements.

· Review and update policies and procedures to maintain alignment with regulatory changes.

· Supervise and train VITA site coordinators, ensuring they are properly certified and ready to assist clients.

· Provide ongoing coaching, guidance, and support to VITA site coordinators, ensuring they adhere to program standards and program participant service expectations.

· Promote the VITA program within the community to increase awareness and participation.

· Establish partnerships with local organizations, businesses, and community groups to expand the program's reach.

· Collaborate with other departments or organizations to ensure smooth operation of the VITA program.

· Ensure high-quality program participant service by addressing client needs, resolving issues, and maintaining a positive experience for all tax filers.

· Assist clients directly, when necessary, particularly with complex or sensitive tax filing situations.

· Maintain accurate and up-to-date records of client information, volunteer hours, and completed tax filings.

· Compile regular reports on program performance, including client demographics, tax returns completed, and volunteer engagement.

· Ensure data integrity and confidentiality of all client and volunteer records.

· Preparing for IRS audits and other regulatory reviews, ensuring compliance at all times.

· Assist with the preparation of program budgets, tracking expenses and ensuring adherence to allocated funds.

· Lead or coordinate training sessions for volunteers on tax preparation, program participant service, and program procedures.

· Participate in team meetings to review progress, identify challenges, and develop solutions.

· Address and resolve any issues or concerns related to program participants, volunteers, or program logistics in a timely and professional manner.

· Any and all other duties as assigned by the Director of Economic and Community Development.


Requirements

QUALIFICATIONS:

· High school diploma or equivalency required. Additional training, education, or certifications in accounting, financial literacy, or tax preparation preferred.

· Ability to secure and maintain IRS advanced certification.

· Demonstrated experience in tax preparation.

· Proficiency in writing formal and technical letters, reports, and procedures.

· Basic computer skills, including proficiency in Microsoft suite and tax preparation software.

· Interpersonal skills relating to supervision of employees and volunteers and relating to customer service.

· Acts 33, 34, 114, and sex offender registry clearances.


REQUIREMENTS NECESSARY TO SAFELY PERFORM THE ESSENTIAL FUNCTIONS OF THE POSITION OF VITA SUPERVISOR:

Strength requirements - Push/pull, lift/move up to 10 pounds.

Manual dexterity - Perform moderately difficult manipulation - typing, writing, filing.

Coordination - Perform tasks which require foot and/or hand/eye coordination - computer entry.

Mobility - Walk, stand, sit for prolonged periods of time.

Speech - Articulate with extreme accuracy.

Vision - Read small print.

Hearing - Able to receive verbal information with some background noise.

Concentration - Able to concentrate on moderate to fine detail with constant interruption.

Attention Span - Able to attend to task function for more than 60 minutes at a time.

Conceptualization - Able to understand and relate to theories behind several related concepts.

Memory - Able to remember multiple verbal and written task-assignments given at beginning of a period extending over long period of time.

Environment Conditions - Indoor work.
