General Description / Primary Purpose

The RecWell Services Coordinator is responsible for supervising the Member Services check-in desk at the Student Wellness Complex (SWC). This role ensures smooth daily operations, oversees staff, manages budgets, and supports departmental initiatives in wellness, marketing, and customer service.

Job Functions

Operations & Front Desk Management

  • Hire, train, schedule, and evaluate Member Services staff

  • Maintain and update the Member Services Standard Operating Procedures manual.

  • Reconcile payroll and manage the Member Services budget.

  • Purchase and manage inventory relevant to student needs.

  • Maintain and troubleshoot the ActiveNet point-of-sale (POS) system.

  • Oversee merchandise inventory and sales; research and introduce new items.

  • Maintain all front desk technology and coordinate with IT for issues.

  • Assist with locker management and related concerns.

Financial & Monetary Responsibility:

  • Maintain PCI DSS certification and ensure desk staff are certified.

  • Establishing and following proper cash and check handling procedures.

  • Reconcile POS and vending massage chair sales weekly with Operations Assistant Director

  • Process Departmental Deposits as needed.

  • Oversee refunds and other monetary transactions.

  • Manage budgets within SG and Auxiliary accounts.

  • Monitor POS revenue goals and attend budget meetings.

Program, Policy Development and Compliance:

  • Monitor membership trends and advise on growth and development strategies.

  • Develop and maintain policies for Member Services operations including check-in verification, membership/locker rental and merchandise sales, as well as day-to-day tasks

  • Contribute to department-wide marketing and promotional policy discussions, including, but not limited to, social media, print materials, community engagement, donations, and sponsorships.

Facility & Departmental Coordination

  • Manage accident/incident reports as reported by Member Services Staff

  • Schedule SWC rentals via the Event Management System (EMS).

  • Collaborate with the Director of Operations on EMS settings and policies.

  • Support other RecWell check-in desks (e.g., Field House, Eco Adventure).

  • Collect stats and comply with Department reporting requirements

  • Oversee scheduling for SWC conference room and group fitness studios.

  • Coordinate facility use for outside groups and special events.

  • Participate in departmental committees and staff development initiatives.

  • Represent Member Services on departmental committees, project teams, and workgroups; provide operational expertise, contribute recommendations, and assist with implementation of departmental initiatives.

  • Build and maintain collaborative working relationships with RecWell staff, campus departments, and external partners to support service delivery and departmental objectives.

Additional Duties

  • Approve and manage SWC bulletin board postings

  • Oversee the SWC digital signage platform Carousel and develop sponsorship opportunities

  • Assist RecWell Department webmaster with website edits and ensure accessibility compliance.

  • Oversee department golf cart use and maintenance schedule

  • Participate in cross-training activities and provide support across unit functions as needed to ensure operational effectiveness, continuity of service, and team success.

  • Collaborate across functional areas and provide operational support for special projects, events, and department-wide initiatives to ensure achievement of RecWell goals.

Supervision Exercised:

  • Student Wellness Complex Member Services staff

Supervision Received:

  • General supervision. The incumbent develops procedures for performing a variety of complex duties within established guidelines; has considerable freedom while the work is in process and receives instructions on new assignments.

 

Required Qualifications

Master's or Bachelor's degree and 2+ years of relevant experience, or an equivalent combination of education and experience pursuant to Fla. Stat. 112.219. 

Departmental Requirements

  • Strong organizational, communication, and interpersonal skills.

  • Ability to work independently and as part of a team.

  • Proficiency in Microsoft Office Suite, especially Excel.

  • Ability to work evenings and weekends.

  • Experience with budgeting, financial tracking software, and current UNF systems is a plus.

A CSA is not expected to investigate or determine whether a criminal incident actually took place. A CSA ’ s responsibility is a duty to report.
