Role: Payroll Manager

Our Client is seeking an experienced and detail-oriented Payroll Manager to oversee and administer all aspects of payroll processing across the organization. This position is responsible for ensuring accurate, timely, and compliant payroll for salaried, hourly, and grant-funded employees while maintaining strong internal controls and payroll data integrity.

The Payroll Manager will work closely with Fiscal, Finance, and HR teams to manage payroll operations within a complex nonprofit environment. The ideal candidate will have strong knowledge of payroll laws and tax regulations, excellent attention to detail, and the ability to independently manage payroll processes while identifying opportunities to improve efficiency, accuracy, and compliance

Key Responsibilities

  • Manage the end-to-end payroll processing for salaried, hourly, and grant-funded employees.
  • Ensure payroll is processed accurately and on schedule in compliance with applicable federal, state, and local laws and organizational policies.
  • Review and approve payroll registers, tax filings, wage payments, and other payroll-related submissions prior to processing.
  • Maintain payroll calendars, including pay periods, processing deadlines, and year-end requirements.
  • Ensure compliance with federal, state, and local payroll laws, including wage and hour regulations.
  • Oversee payroll tax filings, W-2s, 1099s, and other required payroll reports.
  • Respond to payroll audits and coordinate with external auditors as needed.
  • Monitor changes in payroll legislation and regulations and implement necessary updates to payroll processes.
  • Maintain payroll systems and employee records while ensuring data accuracy, security, and confidentiality.
  • Partner with HR to ensure accurate onboarding, offboarding, employee status changes, and payroll-related updates.
  • Reconcile payroll accounts and collaborate with Finance on general ledger postings and payroll-related accounting activities.
  • Support payroll system upgrades, testing, implementation, and process improvements.
  • Serve as a primary point of contact for payroll-related inquiries from employees and managers.
  • Investigate and resolve payroll discrepancies, adjustments, and corrections in a timely manner.
  • Provide guidance regarding pay, deductions, benefits, timekeeping, and payroll policies.
  • Develop, maintain, and document payroll procedures and internal controls.
  • Identify and implement opportunities to improve payroll efficiency, accuracy, and regulatory compliance.

    Required Qualifications
  • Bachelor's degree in a related field required.
  • Minimum 3–5 years of payroll administration experience, preferably within a nonprofit or multi-site organization.
  • Experience managing payroll for employees supported by multiple funding sources or grants is strongly preferred.
  • Strong knowledge of federal, state, and local payroll laws, tax regulations, wage and hour requirements, and compliance practices.
  • Proficiency with payroll systems; experience with UKG Ready is strongly preferred.
  • Bookkeeping experience is a plus.
  • Strong attention to detail with a high level of accuracy and confidentiality.
  • Excellent organizational, analytical, and problem-solving skills.
  • Strong communication and interpersonal skills.
  • Demonstrated ability to collaborate effectively with HR, Finance, Fiscal, and other cross-functional teams.
  • Proficiency in Microsoft Excel.
  • Ability to work effectively in an onsite/hybrid environment.
  • Ability to sit for extended periods and work at a computer.
  • Ability to communicate effectively in person, by phone, and electronically.
  • Ability to work occasional extended hours during payroll processing periods and year-end reporting.
  • Demonstrated ability to manage sensitive employee and payroll information with discretion and confidentiality
