What You'll Do
The Supervisor of Clinics serves as a hands-on, working lead who supports daily clinic operations while helping the team stay aligned on standard workflows. This role regularly assists with front desk coverage and patient care tasks (including rooming) and provides real-time support to keep clinic flow moving.
A portion of the role is dedicated to lead duties such as onboarding support, day-to-day coordination, and reinforcing expectations. The position does not include formal supervisory authority, but it serves as a key resource for staff and a liaison to clinic leadership.
Schedule: Full-time, Days. No holiday/no weekends.
Responsibilities
Demonstrates practice of good time management: Effective organizational skills. Meets assigned deadlines.
Solves problems or directs customer to appropriate avenue for problem resolution within 24 hours. Works toward achieving customer satisfaction.
Demonstrates the ability to recognize inter-departmental and intra-departmental issues and works for resolution.
Reviews new memos, policies and procedure updates on a regular basis and integrates the changes into the workflow.
Obtains required signatures and provides patients with written information per policy. (Consent forms and Release of Information)
Complies with all HIPAA requirements.
Possesses a thorough understanding of the implications of accurate demographic and insurance data and how they affect billing accuracy.
Consistently self-monitors data input on accounts to assure accuracy.
Daily reconciliation of outstanding items from the Athena Workflow Dashboard, including but not limited to missing slips, "no-show" appointments, etc.
Responsible for all cash, checks, and credit card payments and balancing at the end of each business day in accordance with CHS and clinic policies.
Performs general receptionist duties by answering phone, responding to inquiries, providing customer service, making appointments.
Accurately collects improvement performance data as directed.
Ensures consistent verification of patient insurance eligibility prior to check-in as measured by insurance Verification Operations Marker.
Ensures consistent collection of patient balances and co-pays at check-in as measured by POS Percentage Operations Marker.
Ensures assigned office(s) have adequate processes to generate "clean" claims as measured by Claims Requiring Rework Operations Marker.
Ensures assigned office(s) have adequate processes to produce timely claims resolution an payment as measured by Revenue Realization Operations Marker.
Ensures assigned office(s) have adequate processes for timely charge entry as measured by Charge Lag Operations Marker.
Ensures assigned office(s) have adequate processes for timely hold bucket claims correction as measured by Hold Lag Operations Marker.
Ensures assigned office(s) consistently complete Patient Callback Administrator calls as measured by PCA Compliance Operations Marker.
Ensures assigned office(s) provide a good customer experience as measured by PCA Question #2 Staff/Team Member Service Operations Marker.
Ensures assigned office(s) offer acceptable patient wait times as measured by PCA Question #3 Wait Time Operations Marker.
Ensures assigned office(s) provide an overall very satisfactory patient care experience as measured by PCA Question #6 Would Recommend Operations Marker.
Actively participates in the development and implementation of process improvements.
Performs other duties as assigned or requested.
Knowledge/Skills/Abilities:
Possesses problem solving skills of the type and at a level necessary to accomplish the job

Requirements:
Education: High School Diploma or equivalent. Typing, Medical Terminology preferred.
Experience: Six months clerical experience. One year clerical position in clinic preferred.
