Position Summary

The Operations Analyst is responsible for supporting critical operational, regulatory, and reporting activities that impact underwriting, business operations, and compliance. This role serves as a key liaison across Operations, Underwriting, Finance, Actuarial, Reinsurance, IT, and Corporate Reporting teams to ensure timely communication of regulatory developments, accurate master data management, effective policy number administration, operational reporting, invoice processing, and regulatory data call completion.

The ideal candidate is highly organized, analytical, detail-oriented, and capable of managing multiple priorities in a fast-paced environment while maintaining a high degree of accuracy and stakeholder engagement.

Key Responsibilities

Regulatory & Operations Bulletins

  • Monitor industry, regulatory, and operational developments, including APCIA updates, surcharge changes, natural disasters, moratoriums, and other events impacting underwriting and business operations.
  • Maintain internal tracking tools and registers related to regulatory and operational changes.
  • Prepare, distribute, and maintain operational bulletins and communications for internal stakeholders.
  • Coordinate surcharge register reviews and updates across business teams.
  • Support underwriting compliance by ensuring stakeholders remain informed of relevant regulatory and operational developments.

Master Data Services (MDS) Coordination

  • Coordinate new and updated Master Data Services (MDS) field and profit center requests.
  • Gather, validate, and organize information from business stakeholders, including Finance, Actuarial, Reinsurance, and other operational teams.
  • Review and verify GL codes, profit center groups, reserving segments, and related data elements.
  • Submit requests for implementation and partner with IT teams through completion.
  • Ensure requests are completed accurately, efficiently, and within established timelines.

Policy Number Management

  • Manage the assignment and maintenance of policy number blocks across profit centers.
  • Maintain tracking files and monitoring controls.
  • Monitor utilization and capacity of assigned policy number ranges.
  • Enforce established governance standards and controls.
  • Identify and prevent duplicate assignments or policy number conflicts.

Operational Metrics Reporting

  • Compile, validate, and distribute monthly operational metrics reports.
  • Collect and analyze data from multiple sources, including Zendesk and internal operational registers.
  • Review reporting outputs for accuracy and consistency in collaboration with team members.
  • Produce leadership reporting that provides insight into operational performance and workload trends.
  • Respond to stakeholder inquiries regarding metrics and support ad hoc reporting and analysis requests.

Invoice Processing & Financial Administration

  • Manage biweekly WAHVE invoice processing activities.
  • Ensure accurate allocation of expenses across profit centers.
  • Coordinate processing of ad hoc invoices and payment requests.
  • Partner with Operations Payments and Finance teams to ensure timely payment processing.
  • Maintain supporting documentation and audit trails as needed.

Regulatory Data Calls & Reporting Support

  • Coordinate monthly, quarterly, annual, and ad hoc regulatory data calls.
  • Gather, validate, manipulate, and prepare data required for submission.
  • Collaborate with Data Call, Corporate Reporting, Controller, Operations, and external stakeholder teams.
  • Ensure regulatory submissions are completed accurately and within required deadlines.
  • Investigate and resolve data discrepancies and regulatory reporting questions.
  • Maintain and update reporting specifications and procedural documentation to improve efficiency and support future reporting needs.

Required Qualifications

  • Bachelor's degree in Business Administration, Finance, Accounting, Economics, Insurance, Data Analytics, or related field.
  • 1 to 2+ years of experience in operations, regulatory reporting, insurance operations, business analysis, or related functions.
  • Strong analytical and problem-solving abilities.
  • Advanced proficiency in Microsoft Excel, including pivot tables, formulas, and data validation techniques.
  • Experience working with operational reports, data reconciliation, and reporting processes.
  • Strong organizational skills with the ability to manage multiple priorities and deadlines.
  • Excellent written and verbal communication skills.
  • High attention to detail and commitment to accuracy.

Preferred Qualifications

  • Property & Casualty insurance industry experience.
  • Experience supporting regulatory reporting, compliance, underwriting operations, or data governance functions.
  • Familiarity with APCIA communications, state insurance regulations, and surcharge management processes.
  • Experience with Zendesk, reporting tools, and data management systems.
  • Knowledge of profit center structures, GL coding, and financial allocation processes.
  • Experience working with master data management or reference data governance.

Success Measures

Within the first year, the Operations Analyst will:

  • Deliver timely and accurate operational bulletins and regulatory communications.
  • Maintain a high level of accuracy in MDS requests and policy number administration.
  • Consistently meet reporting and data call deadlines.
  • Produce reliable monthly metrics reporting for leadership.
  • Support timely invoice processing and expense allocations.
  • Establish strong partnerships across Operations, Finance, IT, Actuarial, Reinsurance, Underwriting, and Corporate Reporting teams.
  • Identify opportunities to improve reporting processes, documentation, and operational efficiency.
