Job Description Summary
The Maintenance & Logistics Planner will be part of BioMADE’s Hayward Pilot Plant Operations team. This pilot plant will help bridge a gap in the domestic non-pharmaceutical biotechnology industry by providing clients developing emerging fermentation technologies the ability to demonstrate upstream and downstream processes at a scale that supports future commercial-scale design and production.
The Maintenance & Logistics Planner is responsible for translating preventive and corrective maintenance programs established by BioMADE’s Pilot Plant Network Reliability Team Lead into executable daily and weekly work. Working under the direction of the Reliability Team Lead and in coordination with on-site Pilot Plant Operations leadership, this role plans, schedules, coordinates, documents, and supports the execution of maintenance activities through the computerized maintenance management system (CMMS).
As part of a lean pilot plant team, this is a hands-on role. In addition to planning maintenance work, the Maintenance & Logistics Planner is expected to assist the Maintenance Technicians, Pilot Plant Operators, contractors, and others with routine preventive and corrective maintenance, basic troubleshooting, and equipment repairs as appropriate based on training and capability. As the facility is currently under construction, the initial priorities of the position will be to configure the facility’s assets in the CMMS and support commissioning and startup of the facility.
The role also supports overall facility maintenance, vendor coordination, logistics, and inventory management, including maintaining accurate NetSuite records for maintenance spare parts, raw materials, consumables, customer materials, finished products, and other pilot plant inventory.
This individual must be highly organized, mechanically inclined, adaptable, and willing to support a broad range of maintenance, facilities, logistics, and operational activities as site needs evolve.
Key Responsibilities
Maintenance Planning, Coordination & Execution
- Plan and schedule preventive, corrective, calibration, inspection, and other maintenance activities through the CMMS.
- Coordinate maintenance priorities and schedules with the Reliability Team Leader, Maintenance Technicians, Operations, external contractors and other stakeholders to minimize equipment downtime and disruption to pilot plant activities.
- Review maintenance requests and conduct field walkdowns as needed to understand work scope and equipment conditions.
- Develop complete work plans identifying required labor, time, parts, tools, materials, technical documentation, vendor support, permits, and safety requirements before work begins.
- Review open work orders and maintenance backlog, follow up on delayed work, identify duplicate or obsolete work orders, and communicate equipment and work status.
- Group related maintenance activities where practical to optimize use of labor, equipment downtime, vendors, tools, and other resources.
- Perform or assist with routine preventive and corrective maintenance and basic equipment troubleshooting based on training and capability. Activities may include lubrication, inspection, adjustment, replacement of gaskets, O-rings, filters, or other common wear components, routine calibration, and similar equipment-maintenance tasks.
- Assist with equipment breakdowns and repairs alongside the Maintenance Technician, Pilot Plant Operators, equipment vendors, contractors, or Engineering as appropriate.
- Recognize when work requires specialized expertise and coordinate escalation to the appropriate internal or external resource.
CMMS & Maintenance Documentation
- Maintain accurate work-order status, completion details, parts usage, findings, and equipment history in the CMMS.
- Support upkeep of asset records, preventive maintenance tasks, manuals, drawings, vendor information, and spare-parts associations.
- Use maintenance history, recurring issues, and feedback from technicians, operators, and vendors to improve maintenance plans.
- Identify overdue work, recurring equipment problems, and opportunities to improve maintenance planning and execution.
Facility Maintenance & Vendor Coordination
- Coordinate routine facility maintenance such as HVAC, lighting, pest control, building systems, repairs, and inspections.
- Perform or assist with basic facility-maintenance tasks when appropriate based on training, capability, and safety requirements.
- Coordinate qualified vendors and specialized trades for maintenance and repair work, including scope development, RFQ/RFP support, vendor selection, site visits, quote comparison, procurement, scheduling, site access, safety compliance, and stakeholder communication.
- Track recurring services, repairs, inspections, and follow-up activities through completion.
Inventory & Logistics
- Maintain accurate NetSuite inventory records for spare parts, raw materials, pilot plant consumables, and other materials tracked in NetSuite.
- Record receipts, transfers, usage, returns, and adjustments; perform cycle counts and reconciliations; and investigate discrepancies.
- Monitor inventory levels and coordinate replenishment of critical spare parts, consumables, and operating supplies.
- Ensure required parts and materials are available for planned maintenance work.
- Support receiving, labeling, storage, staging, internal movement, and shipment of materials.
Safety & Cross-Functional Support
- Ensure maintenance and facility work is planned for safe execution, including applicable LOTO, confined-space requirements, JSAs, permits, PPE, and site controls.
- Follow applicable safety procedures and stop work when unsafe conditions or behaviors are identified.
- Be flexible to support additional maintenance, logistics, facilities, and operational activities as site needs evolve.
Skills, Knowledge and Expertise
Required
- Associate degree in a technical, maintenance, supply chain, or operations-related field, or an equivalent combination of education and experience
- At least 5 years of experience in maintenance planning, industrial maintenance, inventory management, logistics, or a related role
- Experience using a CMMS, ERP, inventory system, or similar operational software
- Strong organizational, documentation, communication, and follow-through skills
- Strong safety mindset and ability to work effectively in a hands-on, cross-functional environment
Preferred
- Experience in biotech, pharmaceutical, food, chemical, industrial manufacturing, or pilot plant operations
- Experience with NetSuite or a comparable ERP system
- Experience with spare-parts management, cycle counting, shipping, receiving, or warehouse operations
- Experience supporting facility startup, commissioning, or transition to operations
