Our client is a Hawaii-based Managed Services Provider (MSP) specializing in managed IT, cybersecurity, and CMMC compliance for organizations across Hawaii and Guam, with a strong focus on DoD contractors and subcontractors preparing for CMMC and NIST 800-171 requirements. We take a security-first, compliance-led approach and are known locally as a specialist in a category most MSPs don’t understand deeply.
About the Role
We are seeking a HubSpot Administrator / Sales & Marketing Administrator (Junior to Mid Level) to manage and optimize our core HubSpot CRM while also supporting a range of day to day marketing, sales operations, content, and administrative functions. HubSpot will be the primary area of ownership. However, this is not a 40 hour per week HubSpot only role. The successful candidate will also support other recurring operational activities, including content publishing, basic website and LinkedIn updates, sales and marketing coordination, reporting, research, and administrative support.
What You’ll Do
- Manage the day to day administration and maintenance of the HubSpot CRM.
- Maintain database structure, contact and company records, lifecycle stages, properties, lists, and segmentation.
- Build, maintain, and optimize automated workflows, sequences, and deal pipelines based on business requirements.
- Maintain CRM data hygiene, including deduplication, field standardization, bounce/unsubscribe management, and record accuracy.
- Build and maintain pipeline dashboards, activity tracking, and management reports inside HubSpot.
- Monitor CRM processes and identify opportunities to improve data quality, automation, and operational efficiency.
- Provide practical guidance to leadership on HubSpot capabilities, configuration options, and recommended best practices.
- Support the implementation and refinement of CRM processes as business needs evolve.
Content & Website Operations
- Format and publish pre-drafted blog posts and other approved content to the company's WordPress website.
- Maintain basic website content updates, formatting, links, and page information.
- Cross-post completed blog articles and company updates to LinkedIn as needed.
- Perform basic SEO and content formatting tasks based on existing guidance.
- Ensure published content is properly formatted and reviewed for basic quality and consistency.
- Support the preparation and maintenance of sales and marketing materials.
- Assist with email marketing and nurture activities within HubSpot.
- Maintain and update contact and prospect lists.
- Support basic prospect and company research as needed.
- Assist with tracking sales and marketing activities, follow-ups, and pipeline information.
- Help coordinate meetings, discovery calls, and other sales or marketing activities.
- Support event, webinar, and vendor coordination when required.
- Maintain calendars, trackers, and other recurring operational documentation.
Reporting & Administrative Support
- Prepare recurring sales and marketing reports using information from HubSpot and other company systems.
- Track key activity and performance metrics and flag relevant changes or issues.
- Maintain organized records, trackers, and shared resources.
- Assist leadership with recurring administrative and coordination tasks related to sales and marketing operations.
- Take on other reasonable administrative or operational assignments that support the team's day-to-day execution.
- Make light edits to existing Canva templates and marketing materials.
- Format social media graphics, email banners, one-pagers, or similar materials using existing templates.
- Maintain consistency with approved branding and content guidelines.
What You Bring
- At least 1 year of proven hands-on experience administering HubSpot, including CRM management, workflows, automation, segmentation, and database hygiene.
- Experience managing or maintaining CRM data and processes independently.
- Ability to understand business requirements and translate them into practical HubSpot configurations or workflow solutions.
- Experience uploading, formatting, and publishing pre-written content in WordPress.
- Strong organizational skills and the ability to manage multiple recurring workstreams.
- Strong written and verbal English communication skills.
- Comfortable working independently in a lean, fast-paced environment without requiring constant direction.
- Willingness and ability to support a variety of sales, marketing, coordination, and administrative activities beyond HubSpot.
Nice to Have
- HubSpot Administrator or CRM-related certifications.
- Experience supporting B2B marketing, IT, Managed Services (MSP), or compliance-related businesses.
- Experience with LinkedIn or other social media management.
- Experience with event, vendor, or partner coordination.
- Basic Canva experience.
- Familiarity with email marketing, lead nurturing, or sales operations.
What This Role Is NOT
- This is not a 40 hour per week HubSpot only role. HubSpot is the primary area of ownership, but the position includes other sales, marketing, coordination, and administrative responsibilities.
- This is not a high-level marketing strategy ownership role. Strategic direction and technical content remain with the internal leadership team.
- This is not a cold-calling or direct sales role.
- This is not a heavy graphic design, copywriting, or web development role.
