The Project Manager – Scenic is responsible for the planning, coordination, and execution of scenic fabrication and live event projects, including corporate events, trade shows, exhibits, permanent installations, concert touring, residencies, and sporting events.
Working closely with Account Executives, Sales, Technical Design, Engineering, Project Coordinators, and Operations, the Project Manager supports projects from initial scope development through final execution and closeout. This role is responsible for translating project Scope of Work into detailed execution plans while ensuring projects are delivered on time, on budget, and aligned with client expectations.The Project Manager serves as a primary point of contact throughout the project lifecycle and is expected to maintain clear communication with clients, vendors, and internal stakeholders while providing a high level of customer service both internally and externally.
This position plays a key role in coordinating logistics, labor, budgeting, scheduling, change management, and operational execution while maintaining accuracy within internal project management and asset tracking systems.
Project size, complexity, and level of responsibility may vary depending on experience level and business unit requirements.

- Develop and maintain detailed project plans in collaboration with Account Executives, Technical Product Managers, Project Coordinators, and Operations teams
- Manage scenic projects from award through closeout, ensuring delivery aligns with scope, budget, timeline, and client expectations
- Communicate regularly with clients regarding project status, schedules, deliverables, inclusions, exclusions, and scope changes
- Collaborate with Sales and Account Executives to identify opportunities for additional services and value-added solutions
- Coordinate with Technical Design, Engineering, and Fabrication teams to align project execution strategies and technical requirements
- Participate in project pricing reviews (Deal Desk) and assist with quote revisions and change order management
- Track and manage project change orders, approvals, and scope modifications, ensuring all impacted stakeholders are informed
- Maintain integrity and accuracy of project data within Asset Management Systems (AMS) and other internal tracking systems throughout the project lifecycle
- Monitor project financial performance, labor actuals, vendor costs, and project budgets, including participation in month-end reconciliation processes
- Ensure equipment schedules, return dates, and project logistics are accurate and updated within internal systems
- Maintain complete and accurate project documentation, including schedules, budgets, drawings, contracts, purchase orders, invoices, logistics documents, and subcontractor agreements
- Coordinate project logistics, transportation, vendor activities, and third-party services
- Determine project labor requirements, develop labor schedules, and track labor actuals throughout project execution
- Coordinate with labor teams regarding staffing, travel, accommodations, and per diem requirements
- Ensure timely and accurate submission of project paperwork, labor reports, expenses, and timesheets Participate in client presentations, site visits, and project meetings as required
- Support or oversee on-site execution and management of show labor as required
- Promote and reinforce job site safety standards while addressing operational and safety concerns as needed
- Lead project closeout activities, including reconciliation, post-show reporting, and client follow-up
- Support continuous improvement initiatives and implementation of updated project management processes and procedures
Qualifications
Qualifications / Knowledge & Skills
- Strong project management skills with exceptional attention to detail
- Excellent communication and interpersonal skills, both written and verbal
- Ability to read and interpret contract scope, technical drawings, plans, and project documentation
- Strong organizational and time management skills with the ability to prioritize multiple projects under tight deadlines
- Creative problem-solving mindset with the ability to adapt in fast-paced environments
- Working knowledge of scenic fabrication, scenic automation, engineering, lighting, audio, video, rigging, labor coordination, and live event production workflows
- Experience managing budgets, vendor relationships, client communication, and conflict resolution
- General understanding of labor regulations and job site safety requirements
- Ability to lead, collaborate, and work effectively across multiple teams and departments
- Proficiency in Microsoft Office Suite and project management software
- Experience using Asset Management Systems (AMS) or similar project tracking systems
- Some travel, including international travel, may be required
Physical Demands
- Must be able to remain in a stationary position approximately 50% of the time
- Must be able to bend, climb stairs, and continuously stand or walk for extended periods as required
- Must be able to lift and/or move up to 50 pounds
- Must be able to communicate effectively in both written and verbal forms
- Hearing and vision within normal ranges are required for communication, reviewing drawings, and inspecting project work

Required Education & Experience
- Technical education and/or training in scenic fabrication, live event production, or related disciplines preferred
- 5+ years of experience working in the entertainment or live events industry

CA, CO, IL, NY, NJ and NV: The pay range for this position is estimated to be $85,000 - $95,000. Actual pay to be determined by the experience, knowledge, skills, and abilities of the applicant combined with location and alignment with market data. Additionally, we offer comprehensive health, dental, and vision insurance, paid time off, and a 401(k) retirement savings plan with matching contributions
