Description
Process Improvement Specialist
Location: Irvine, CA | On-site || Department: Operations || Employment Type: Full-time
About the Role
The Process Improvement Specialist works across multiple entities and with department leaders to document process flow and recommend improvements. You will partner with leaders in Operations, Case Management, Client Relations, Tax Preparation, Compliance, Sales Support, Mail/Document Processing, and other functions to map current-state workflows, clarify owners and handoffs, and present clear recommendations that reduce rework, shorten cycle time, and protect quality and regulatory compliance.
This is a hands-on, leader-facing role. You will sit with teams, interview stakeholders, produce process maps and written documentation, and bring department leaders a recommended path forward—not a stack of unused analysis.
What You’ll Do
- Document current-state process flow end to end, including steps, systems, decision points, handoffs between departments and entities, controls, and known exceptions.
- Facilitate working sessions with leaders and frontline subject-matter experts to validate maps and surface bottlenecks, delays, errors, and compliance risk.
- Produce and maintain process maps, SOPs, desk guides, checklists, and job aids that teams and leaders can use after the project ends.
- Define simple measures of success with leadership and track results after changes are adopted.
- Support implementation and adoption: help leaders communicate the change, train supervisors and staff, and confirm the new flow is being followed.
- Partner with Compliance and Legal so recommended process changes meet IRS representation, documentation, and consumer-protection requirements.
What You Bring
- Bachelor’s degree in business, operations, finance, or equivalent experience.
- 1 - 3 years in process improvement, business analysis, operations excellence, or similar work in a high-volume service environment.
- Proven ability to work across departments and partnering directly with leaders rather than only with frontline staff.
- Demonstrated experience documenting process flows.
- Strong analytical skills and advanced Excel or Google Sheets for analysis, tracking, and simple dashboards.
-
