Job Title: Executive Assistant Manager
Position Location: Raleigh, NC. Fully Onsite, Not Remote or Hybrid.
Job Summary:
The Executive Assistant Manager leads the executive assistant team, ensures the seamless operation of the Executive Leadership Team (ELT) office, and provides high-level administrative support to assigned ELT members. The Executive Assistant Manager drives operational excellence, cultivates a high-performing team, and models Coastal's values through proactive leadership and service.
As a key contributor to the Coastal team, your responsibilities will be:
- (40%) Optimize ELT Office Operations:
- Enhance workflow efficiency by identifying bottlenecks and implementing practical process improvements that reduce turnaround time and improve accuracy. Standardize administrative practices by creating and maintaining clear guidelines for scheduling, document handling, and communication protocols.
- Improve information flow by ensuring timely distribution of updates, reports, and decisions across the ELT and support teams.
- Leverage technology tools to simplify scheduling and document sharing.
- Monitor operational priorities and adjust support resources to meet changing executive needs quickly and effectively.
- Maintain compliance and consistency by reviewing and updating office procedures in collaboration with stakeholders.
- (40%) Deliver High-Level Administrative Support:
- Manage complex calendars for assigned ELT members, proactively scheduling meetings, travel, and events to maximize executive productivity.
- Prepare and distribute ELT meeting materials, agendas, and minutes, ensuring all stakeholders are informed and prepared for decision-making.
- Coordinate travel and training logistics, ensuring all arrangements are cost-effective, compliant, and tailored to executive preferences.
- Provide administrative support for Board and volunteer committee activities as assigned, including meeting logistics, materials preparation and distribution, and other administrative coordination.
- (20%) Lead, Develop, and Manage the Executive Assistant Team:
- Set clear expectations and measurable goals for each team member, using regular feedback and SMART criteria to drive accountability and growth.
- Conduct weekly one-on-one meetings to build trust, provide coaching, and recognize achievements, fostering a culture of engagement and continuous improvement.
- Recruit, onboard, and integrate new team members, using structured orientation and mentoring to accelerate ramp-up and ensure alignment with Coastal's standards.
Manages:
Directly supervises Senior Executive Assistants (Currently Three). Responsible for recruiting, onboarding, and developing administrative staff as needed.

Experience:
- Eight years of administrative experience, preferably supporting senior management
- Three years of office management experience
- Experience as a team leader, supervisor, or manager
Education:
- High school diploma or equivalent; related bachelor's degree preferred
