Our services span collectible trading cards, autographs, comic books, coins, video games, event tickets, and memorabilia. Our subsidiaries include PSA, PCGS, Beckett, SGC, and Card Ladder.

Since our founding in 1986, we have graded and authenticated millions of items. We employ more than 3000 people across our headquarters in Santa Ana, California and offices in New Jersey, Texas, Florida, Japan, Shanghai, Hong Kong, Canada, Mexico, Germany, and France.

As part of our interview process, we request that candidates have their cameras on during video interviews. This helps foster meaningful conversation and allows us to create an experience that closely resembles our standard working environment. Certain interview steps may take place by phone. For remote roles, and at our discretion, candidates may be asked to participate in an on-site interview as part of the final stages of the process.

We understand there may be occasional circumstances requiring accommodation and are happy to discuss them as needed. Your recruiter will be able to clarify expectations and answer any questions you have.

Role Description

PSA Japan is looking for an Executive Assistant to support the General Manager (GM) and the Japan Leadership Team.

The role goes well beyond managing the GM's calendar. You will run the leadership meeting cadence, work with U.S. HQ and global executives, and host visiting executives. In doing so, you will help lead a Japan organization of more than 250 employees.

You will connect stakeholders across time zones, languages, and cultures, so the GM and the Leadership Team can focus on decisions and on moving the business forward.

Beyond handling day-to-day requests, you will anticipate what is needed and prepare it in advance, strengthening the leadership team's rhythm and execution.

This role reports directly to the GM and is based at our Tokyo office, with on-site work expected [4] days a week.

What You'll Do

  • Calendar and priority management: Manage the GM's calendar, priorities, and workflows, including early-morning and evening meetings with U.S. HQ
  • Leadership Team support: Handle scheduling and administrative support for the Japan Leadership Team, and help coordinate across functions
  • Leadership meetings: Prepare agendas, pre-reads, and minutes, and track action items for weekly LT meetings, monthly all-manager meetings, OKR reviews, and business reviews with HQ
  • Materials and communications: Help prepare briefings, decision materials, and internal communications in Japanese and English
  • Visiting executives and VIPs: Plan itineraries, meetings, hotels, transport, dinners, and client and partner visits for U.S. and global executives visiting Japan, and accompany them on the day
  • HQ liaison: Help the Japan team and U.S. HQ communicate smoothly by adding context and translating short materials
  • Travel: Arrange domestic and international travel for the GM and Leadership Team, and manage logistics
  • Expenses and approvals: Process the GM's expenses, internal approvals (ringi), and invoices using JOBCAN and similar tools, and coordinate with related departments
  • Events and offsites: Help coordinate leadership offsites, company-wide events, and industry events such as card shows and partner meetings
  • Process improvement: Write and update guidelines and workflows for meetings, visitor hosting, and approvals, and suggest ways to work more efficiently
  • Special projects: Drive special projects and operational improvements as the business grows
  • Confidentiality: Handle executive and HR information with discretion and integrity
  • Other tasks in partnership with the GM and Leadership Team

Who You Are

  • 4+ years of experience as an executive assistant, executive secretary, or in business support, ideally in a fast-paced environment
  • Experience supporting senior executives, a country manager, or a leadership team
  • Works independently: judges situations, sets priorities, and follows through without constant direction
  • Anticipates needs based on executives' schedules and business developments, and prepares ahead
  • Manages competing priorities across many stakeholders and time zones in a structured way
  • When issues arise, sorts out the facts, involves the right people, and proposes and carries out practical solutions
  • Builds trusted relationships with internal and external stakeholders in both Japan and the U.S.
  • Strong hospitality mindset and professional presence grounded in Japanese business etiquette
  • Handles confidential information with integrity and sound judgment
  • Native-level Japanese (spoken and written) and business-level English, comfortable with daily email, meetings, and scheduling with U.S. HQ (TOEIC 850+ as a guide)
  • Proficient in Google Workspace (Docs, Sheets, Slides, Calendar) and Microsoft Office
  • Adapts quickly to a fast-changing environment and takes on new challenges with a positive attitude

Preferred Experience and Skills

  • EA or executive secretary experience at a foreign-affiliated or global company
  • Experience hosting overseas executives in Japan and arranging international travel
  • Experience running leadership or board meetings
  • Experience planning and running internal events or offsites
  • Japanese–English translation or informal interpretation experience
  • Experience with Slack, JOBCAN, Jira, and AI productivity tools
  • Interest in trading cards, collectibles, or pop culture

Why This Role

  • You will work directly under the GM, close to key business decisions and major projects, at the center of how the organization runs.
  • Working with U.S. HQ and global executives every day, you will build your business English and coordination skills at the pace and scale of a global company.
  • Beyond day-to-day support, running leadership meetings, improving processes, and leading special projects can lead to bigger roles in areas such as strategic planning or business operations.
