Coordinator, Products, Integrations & Service Management

Permanent Full-Time, Hybrid

The Product Coordinator is responsible for supporting initiatives and operational duties relating to Integrated EHR Products and EMR Contextual Launch Services used by community-based clinicians. This position requires close collaboration with both internal and external stakeholders, including EMR vendors, system delivery partners, and other stakeholders involved in the EHR ecosystem.
 

Reporting to the Director, Product Delivery:

Under the direction of the Director, Product Delivery, and working with one or more additional managers in a matrix reporting environment, key responsibilities include: 

1.    Works collaboratively with internal and external stakeholders to identify and progress users through onboarding and adoption activities.

  • Is responsible for coordinating meetings, drafting meeting minutes, managing and monitoring action items, and actively engaging in meetings.
  • Operational onboarding and adoption activities including:
    • Managing and monitoring supporting documentation such as action items, RAID, project schedules
    • Contributes to the development of key activities and artefacts that support clinician adoption such as product deployment planning, service-related communications and collateral, and clinician adoption planning.
  • Participates in activities required to support successfully transitioning a product/service from a pilot phase to fully operational.  
  • Engages and contributes to project-related discussions with internal and external teams to support operational efficiencies.

2.    Provides operational support to change management and adoption of provincial EMR integrated EHR products and services:

  • Is responsible for actively monitoring, and reporting on, onboarding and adoption activities and the use of provincial EMR integrated EHR products and services.
  •  In collaboration with internal teams, participates in the identification of requirements such as data, reporting fields, functionality enhancements to support operational reporting requirements.  
  • Supports the Integrations team in meeting objectives and timelines associated with onboarding and adoption milestones and activities.
  • Updates documentation, collateral, training materials and website content as required by the project or ongoing operational maintenance.
  • Ensures problems are identified, defined and manages escalations as necessary.

3.    Contributes to and enforces compliance with OMD processes related to adoption of provincial EMR integrated EHR products and services.

  • Collaborates in internal and external stakeholder and delivery partners to refine and optimize processes, documentation, and roles and responsibilities associated with EHR integrations.
  • Supports alignment to and continuous improvement of OMD’s common operating model, including a leveraged use of CRM (Microsoft Dynamics 365) and other assets.
  • Contributes to the improvement of OMD practices as part of an ongoing iterative process.


Requirements that are important to us:

  • Post-secondary education in Business Administration, Health Administration and/or Information Technology, or equivalent experience.
  • Minimum three (3) years experience in an IT project environment within the provincial healthcare environment, providing administrative and project coordination support.
  • Experience building and maintaining productive working relationships with stakeholders (e.g., internal and/or external partners.) 
  • Ability to articulate complex processes into simple business terms is required.
  • Ability to prepare communications and oral presentation materials with attention to detail is required.
  • Demonstrated in-depth experience using a variety of office automation tools including Microsoft Office Suite (i.e., Teams, Word, Outlook, Excel, Visio, and Power Point) SharePoint and Microsoft Dynamics 365. Familiarity with Microsoft Project and Power BI are considered assets.
  • Demonstrated experience leveraging Microsoft Excel to gather, analyze, prepare large volumes of data is critical, and maintaining ongoing reporting is required.
  • Familiarity with EMRs and/or provincial EHR products and services is an asset.

Base salary range of $60,000 - $65,000 annually; final compensation offered will be determined based on experience, skill set, education, training, and internal equity.
