1. Supervise daily administration: receiving confirmation (GRN), put-away confirmation, pick/shipment confirmation and all WMS ↔ JDE interface transactions; resolve interface errors and exceptions the same day.
2. Own the inventory-control program: plan and run daily cycle counts to reach 100% coverage every month, reconcile WMS vs ERP vs physical, investigate discrepancies, escalate repeat discrepancies to BP, and prepare the daily count report for BP management.
3. Plan, coordinate and lead the six-monthly wall-to-wall stock take with BP, including count teams, cut-off control, variance analysis and sign-off.
4. Control batch, shelf-life, expiry and BP 're-check date' data in WMS; ensure FIFO/FEFO allocation, quarantine of stock beyond re-check date, segregation of non-conforming (NC) stock and blocking of NC stock from dispatch.
5. Ensure complete and correct delivery documentation for every order: invoice extracted from BP ERP, certificate of analysis (COA), SDS/MSDS, dangerous-goods transport manifest, customs/free-zone documents and any customer-specific documents.
6. Manage returns, cancelled orders, invoice changes, credit notes (CN) and debit notes (DN) with BP customer service; maintain a return/claim log and close out each case.
7. Prepare and submit all reports required by BP: daily stock report (FG mandatory, consumables mandatory), batch/age-of-stock per order, consumables and pallet/stretch-film stock, KPI dashboards and monthly operations review pack.
8. Supervise HR-admin tasks for the site: time attendance, overtime, leave, shift roster records and new-hire onboarding paperwork in coordination with Toll HR.
9. Verify supplier bills, prepare monthly billing/invoice to BP on time, and supply cost and revenue data to the Warehouse Manager / Operations Manager for site P&L control.
10. Act as first point of contact for BP customer complaints on documentation/stock issues; log, respond, drive corrective and preventive action and report closure.
11. Maintain document control for site SOPs, work instructions, labels/label control forms and records in line with ISO 9001 and BP GSC Quality Standards (Appendix 6).
12. Coach, train and evaluate the admin and inventory team; cover critical tasks during absence; support WMS/EDI go-live, UAT and continuous improvement (Kaizen) initiatives.
