Description
We are seeking a dynamic and self-motivated executive assistant to support two partners. This role requires strong multitasking abilities, attention to detail, and the capacity to thrive under pressure in a fast-paced, client-focused environment. The ideal candidate is resourceful, proactive, and possesses excellent interpersonal and problem-solving skills.
Key responsibilities include handling phone traffic, scheduling meetings, managing legal correspondence, tracking negotiation paperwork and deadlines, maintaining legal files and databases, and researching guild issues.
Qualifications
- Bachelor's degree or equivalent experience
- Preferred: a minimum of 3 years of experience in entertainment, a law firm, or an in-house studio, and experience managing high-volume paperwork
- Self-starter with the ability to multitask, excellent work ethic, and a commitment to managing assignments with professionalism and integrity
- Strong written and verbal communication skills
- Strong PC skills, including proficiency in DocuSign, Microsoft Word, Microsoft Excel, Adobe, and Outlook
- Ability to anticipate and prioritize the evolving needs of a high-volume desk
- Proficient in Studio System and IMDb Pro
Outline of Duties
- Calendar management: scheduling calls and meetings
- Coordinating business travel, meetings, and networking events
- Managing phone communications and maintaining an organized phone sheet while updating contacts as needed
- Managing workflow by communicating follow-ups and reminders.
- Sending agreements to clients for signature and tracking the status of agreements and payments
- Coordinating client payroll documentation, often in collaboration with business managers
- Monitoring emails with prompt, professional, and efficient responses
- Tracking and securing client payments and firm commissions
- Managing incoming and outgoing mail
- Interfacing with clients and addressing their needs, concerns, and questions
- Drafting formal emails, memos, bios, letters, and other documents
- Commissions tracking
Salary Range: $31.25 - $72.12/hr
Actual compensation will be determined by factors including relevant experience, skills, education, and internal pay structure.
