Brief Duty Description:
The Coordinator supports the work of two related and independent key initiatives - growing and maintaining the Affiliate Network and bringing new traveling exhibitions to market. This position supports the strategic goals of the Affiliates and Traveling Exhibitions (AF/TR) department by connecting and strengthening history-inspired organizations statewide. The Coordinator manages a diverse portfolio of traveling exhibitions, orchestrates regional workshops, and administers comprehensive membership services. By driving exhibition revenue and facilitating museums’ personnel professional development, this role directly advances History Colorado’s mission to build long-term sustainability and invest in rural prosperity. With the growth in both programs, additional exhibitions and regional, offsite, workshops are being added to this position's workload.
Job Duty 1
Provide services to Affiliates Newsletter, Museum Connections, Annual Summit and Renewals year round.
Use Blackbaud reports to organize next month's requests for renewals
Maintain addresses of members in Emma and send renewal requests on rolling monthly bases
Send out benefit packages to new members and update online maps
Make decisions around the timing and tone and technology formats of the programs
Considers and brainstorms topics and speakers for Museum Connections
Handles registrations and slide decks for Museum Connections
Plan, execute and report on one regional workshop each year
Plans will include site reservations, date selection, travel arrangements, speaker acquisition, invites, agenda and food arrangements for regional workshops
Travels to regional workshop location and co-facilitates workshop sessions, facilitates meals and program materials
Collects participant evaluations of the regional workshops and financial receipt submission
Job Duty 2
Answer all rental inquiries for Ute Knowledge, The Dry and Winter Warriors and convert most of those inquiries into exhibition rentals
Work within the available exhibition dates and the clients’ available hosting dates to the the build-in shipping times installation/deinstallation time windows to create a functional and efficient exhibition schedule.
Create and get signatures on memos of agreement that capture the dates, pertinent payment information and expectations between History Colorado and exhibition renting organizations.
Check condition of traveling exhibition and when needed order new parts
Plan, execute and report on one new traveling exhibition content and its associated programming.
Organize one content and exhibition installation workshop a year, organize hotel rooms for hosts and meals
Create, distribute and score an exhibition questionnaire to determine the select Affiliates who will receive the free exhibition
Schedule the exhibition tour dates and shipping dates and
Collaborate with host Affiliates and speakers to secure a public education talk.

- Demonstrated experience using Microsoft Office Suite (Word, Excel, PowerPoint) or Google Workspace to manage administrative tasks.
- Experience handling confidential records or sensitive organizational information.
Proven Experience, Knowledge, Skills:
- Three (3) years of full-time professional experience with a primary focus on non-profit business development, membership program management, professional development service delivery, scheduling, logistics, shipping, or planning, organizing, and executing projects, events, or administrative systems.
- Two (2) years of professional experience providing customer service, public engagement, or public communications. (Note: This experience may be gained concurrently with the professional experience above).
**Part-time experience will be pro-rated based on a 40-hour work week.**
OR
- Associate’s Degree = Substitutes for two (2) years of experience (requires one (1) year of remaining professional experience).
- Bachelor’s Degree = Substitutes for four (4) years of experience (meets the 3-year requirement in full).
- Master’s Degree = Substitutes for six (6) years of experience (meets the 3-year requirement in full).
- Circumstances may require this position to work outside of regular business hours (evenings and weekends).
- Must possess or be able to obtain a valid Colorado Driver’s License.
- Willingness and ability to travel independently throughout the state, including overnight stays.
- Must pass a pre-employment criminal background check.
- Financial & Grant Aptitude: Understanding of and experience with finance, accounting, or grant administration.
- Project Management & System Building: Strong project management skills, including the ability to multitask, problem-solve, prioritize competing demands, create efficient administrative systems/processes, and meet strict deadlines.

- Relationship Management & Stakeholder Engagement: Proven track record of developing and maintaining trusted relationships with internal team members, external stakeholders, community partners, and industry experts.
- Negotiation & Problem-Solving: Proactive approach to problem-solving, strong decision-making capabilities, and excellent negotiation and consensus-building skills.
- Teamwork & Autonomy: Highly resourceful team player with the ability to collaborate effectively while also operating with high independence and self-motivation.
- Technical Competence: Technical experience as it relates to the duties outlined in this job announcement.
