Brain Injury Solutions is seeking a professional, organized, adaptable, and detail-oriented Administrative Assistant to support the daily operations of our nonprofit organization during the hours of 8:30am-4:30pm, Monday-Friday. This role is ideal for someone who enjoys helping others, managing multiple priorities, and serving as a welcoming first point of contact for clients, visitors, and staff. The Administrative Assistant plays a key role in supporting agency programs, office operations, and administrative functions that help advance our mission.
- Answer and direct incoming phone calls.
- Welcome visitors, clients, and community partners.
- Respond to general inquiries and provide appropriate referrals.
- Maintain a professional and welcoming office environment.
- Prepare, proofread, and distribute correspondence and documents.
- Maintain organized electronic and physical filing systems.
- Enter and manage data in spreadsheets, databases, and tracking systems.
- Support program staff with client files, reports, forms, and documentation.
- Handle incoming and outgoing mail and shipments.
- Perform occasional errands, including post office runs and supply pickups.
- Monitor office supply inventory and coordinate orders.
- Assist with administrative and program documentation.
- Request, track, and maintain authorized medical records and related documentation.
- Support leadership and staff with reports, packets, and special projects.
- Provide assistance with new hire/board member onboarding activities, trainings, meetings, and agency events.
- High school diploma or equivalent.
- Strong computer skills, including proficiency with Microsoft Office and the ability to learn new systems as applicable.
- Excellent written and verbal communication skills.
- Strong organizational skills and attention to detail.
- Ability to prioritize multiple tasks and work independently.
- Ability to maintain confidentiality and exercise sound judgment.
- Valid driver's license with satisfactory driving record.
- Current Virginia Notary Commission.
- Current CPR/First Aid certification (or the willingness to obtain certification at the agency's expense).
- Experience in an administrative, clerical, or office support role.
- Experience working in a nonprofit, healthcare, human services, or community-based setting.
- Customer service mindset with a positive and professional attitude.
- Ability to work collaboratively in a team-oriented environment.
- Ability to perform office-related tasks, including sitting, standing, walking, and reaching.
- Ability to travel as needed, including to staff meetings in Wytheville every quarter.
- Ability to lift and/or move up to 50 pounds with or without reasonable accommodation.
