U.S. Sales Coordinator – Ideal Products

Reports To: U.S. Sales & Business Development Manager

Position Summary

The U.S. Sales Coordinator will support the execution of Ideal Products’ U.S. sales and business development strategy within the mechanical insulation industry.

 

Reporting directly to the U.S. Sales & Business Development Manager, this position will provide centralized support for project quoting and tracking, customer and distributor opportunities, independent sales representatives, pricing initiatives, sales reporting, and strategic growth programs.

 

A primary responsibility of this position will be managing the sales process surrounding project opportunities, from initial quote request through follow-up, revisions, award status, and outcome, ensuring Ideal maintains visibility and consistent follow-through across its U.S. project pipeline.

 

The role will also provide the structure and day-to-day sales support necessary to allow the U.S. Sales & Business Development Manager to dedicate greater time to customer development, strategic relationships, market expansion, product growth, and revenue generation.

 

Key Responsibilities

Project Quoting & Tracking

  • Own the coordination and preparation of project quotations for U.S. sales opportunities.
  • Gather required project information, specifications, quantities, product requirements, and customer details necessary to prepare accurate quotations.
  • Coordinate internally as needed to validate pricing, material requirements, lead times, freight considerations, and other project-specific requirements.
  • Maintain a centralized project quotation and opportunity tracker for U.S. sales.
  • Track projects from initial identification and quotation through revisions, follow-up, award, loss, and completion.
  • Proactively follow up with customers, distributors, and sales representatives regarding outstanding project quotations and project status.
  • Maintain documentation of quote revisions, pricing approvals, project assumptions, and customer communications.
  • Identify significant project opportunities requiring involvement from the U.S. Sales &Business Development Manager.
  • Provide regular reporting on project pipeline value, quote activity, win/loss results, upcoming opportunities, and outstanding follow-up.
  • Assist in identifying trends in project wins, losses, competitive pricing, product demand, and market activity.

 

 

 

Sales & Business Development Support

  • Support execution of U.S. sales initiatives and growth strategies.
  • Maintain and track active customer opportunities, sales initiatives, and strategic account action items.
  • Coordinate follow-up resulting from customer meetings, facility tours, conferences, webinars, and sales calls.
  • Prepare customer presentations, meeting materials, sales reports, and supporting documentation.
  • Coordinate product samples, literature, technical documentation, and other resources required to advance sales opportunities.

Customer & Distributor Coordination

  • Support sales initiatives involving Ideal’s key distribution partners and independent distributors.
  • Track customer-specific commitments, pricing actions, growth initiatives, rebate programs, and next steps.
  • Maintain visibility in major customers and project opportunities.
  • Coordinate internally with Customer Service, Operations, Production, Finance, and other departments to support sales opportunities and customer commitments.
  • Ensure sales-related action items are documented, assigned, and followed through to completion.
  • Independent Sales Representative Support.
  • Serve as a centralized support resource for Ideal’s U.S. independent sales representative network.
  • Maintain rep opportunity pipelines, account priorities, project activity, and action items.
  • Assist with rep performance reporting, territory reviews, sales goals, and follow-up.
  • Ensure representatives have current pricing, product literature, samples, presentations, and selling tools.
  • Help identify gaps in activity, territory coverage, project pursuit, or follow-through requiring sales leadership attention.

Sales Reporting & Analytics

  • Maintain recurring U.S. sales reports and dashboards.
  • Track performance by customer, territory, product category, representative, and strategic initiative.
  • Assist with YOY, budget, forecast, margin, and variance analysis.
  • Maintain project pipeline reporting to improve forecasting and visibility into future revenue.
  • Prepare information for monthly sales reviews, leadership updates, rep reviews, and strategic planning.

 

 

 

Pricing Support

  • Support administration and tracking of customer pricing, project pricing, and pricing updates.
  • Maintain documentation of approved pricing and customer programs.
  • Coordinate project quote pricing with sales leadership when special pricing or margin approval is required.
  • Assist with tracking pricing effectiveness, customer growth, margin performance, and competitive activity.
  • Ensure approved pricing actions are accurately documented and communicated to the appropriate internal teams.

Market & Sales Enablement

  • Maintain organized information regarding competitors, projects, market activity, and regional opportunities within the mechanical insulation industry.
  • Support strategic product growth initiatives.
  • Assist with association events, conferences, webinars, customer training, and facility tours.
  • Maintain an organized library of sales presentations, product resources, customer information, project history, and market intelligence.

Qualifications

  • 3–5 years of experience in sales coordination, inside sales, estimating/project quoting, sales operations, or a related role preferred.
  • Experience within mechanical insulation, industrial construction, specialty contracting, manufacturing, or distribution strongly preferred.
  • Ability to read and understand project requirements, specifications, takeoffs, bills of material, and customer quote requests.
  • Strong organizational skills with the ability to manage a high volume of active quotations and projects simultaneously.
  • Strong written and verbal communication skills.
  • Advanced proficiency in Excel and Microsoft Office; experience with CRM, ERP, estimating, and reporting systems preferred.
  • Comfortable working with pricing, margins, forecasts, project values, and sales performance metrics.
  • Strong attention to detail and demonstrated accountability for follow-through.
  • Ability to work effectively across Sales, Customer Service, Operations, Production, and Finance.

Compensation Range

$35,600.00 - $71,200.00

To comply with Pay Transparency laws, employers must disclose an annual salary range. Actual offers depend on factors such as location, experience, skills, and market data. This position may also offer variable compensation.
