Overview:
This position supports the development of complex, multi-disciplinary proposals and statements of qualifications (SOQs). The Proposal Coordinator II collaborates closely with technical staff, marketing team members, and subconsultants to manage content, schedules, and deliverables for high-quality, compliant submissions. This role requires excellent organization, and time management skills, along with the ability to coordinate fast-paced proposal efforts independently.
Responsibilities:
Facilitate the proposal process
Coordinate the preparation, development, and layout of SOQs and proposal documents from kickoff through final delivery, ensuring compliance with submission requirements
Format documents and ensure brand compliance and proposal consistency
Ensure proposals meet compliance requirements and align with evaluation criteria
Manage content development with input from marketing, technical staff, and leadership
Manage proposal schedules, maintain pursuit checklists, and ensure timely submission of all components
Facilitate proposal kickoff and milestone meetings to maintain progress and accountability
Support QA/QC processes to ensure high-quality, error-free deliverables
Maintain and update proposal databases, libraries, boilerplate material, and template
Conduct research and gather information from internal teams to support proposal content
Track and manage multiple deadlines simultaneously, prioritizing tasks based on project needs
Contribute to identifying proposal process improvements and content updates
Qualifications:
Bachelor’s degree in English, Communications, Marketing, or related field preferred
4+ years of experience in a proposal coordination role, preferably in the AEC (Architecture, Engineering, and Construction) industry Proficiency in Adobe InDesign, Microsoft Word, PowerPoint, and Acrobat
Strong writing, editing, and proofreading skills
Excellent organizational skills and the ability to manage multiple concurrent deadlines
Effective communicator with the ability to collaborate with technical and non-technical staff
Dependable and flexible with a proactive, team-oriented approach
Availability to work Monday – Friday, 8am – 5pm, with overtime as needed
