The Role
We are seeking a highly organized and proactive Administrative Assistant to join our team in Limerick on a part-time basis (20 hours per week). You will provide administrative and coordination support to a busy engineering leadership team, helping the organization run smoothly day to day. This role suits someone who enjoys variety, works well with people at all levels, and takes pride in getting the details right. Working hours are flexible and can be arranged to suit both the business and the successful candidate for example, mornings across five days or full days across three.
What You'll Do
- Manage calendars, meeting scheduling, and room bookings for senior leaders, including coordination across international time zones
- Organize travel arrangements (flights, hotels, transport) and process expense reports in line with company policy
- Coordinate logistics for on-site events, leadership visits, workshops, and team meetings, including catering and visitor access
- Prepare, format, and proofread documents, presentations, and communications for internal distribution
- Support purchase requisitions, purchase orders, and invoice tracking with Finance and Procurement
- Assist with onboarding logistics for new hires desk setup, equipment requests, and first-week scheduling
- Maintain distribution lists, organization charts, SharePoint/Teams sites, and shared trackers
- Act as a friendly, reliable point of contact for the team, handling queries and ad-hoc requests with discretion
What You'll Bring
- 2+ years of administrative, office coordination, or executive support experience (or equivalent)
- Strong proficiency with Microsoft Office 365 — Outlook, Teams, PowerPoint, Excel, SharePoint
- Excellent organizational skills with the ability to prioritize and manage multiple tasks independently
- Clear, professional written and verbal communication skills
- Discretion and sound judgment when handling confidential information
- A collaborative, can-do attitude and comfort working in a fast-paced, global environment
Desirable: experience supporting senior leaders in a multinational or technology environment; familiarity with Concur, Workday, or similar enterprise systems.
