A Brief Overview
Sets up appointments and performs pre-registration tasks for patients in accordance with internal standards, guidelines and regulatory requirements. Responsibilities include obtaining insurance coverage information by collecting, recording and distributing patient demographic/financial information via telephone and computer systems. Schedules medical appointments and pre-registers patients for physicians and provides within the Physician practice groups. Models appropriate behavior as exemplified in MLH Mission, Vision and Values.
What you will do
- Schedules appointments in electronic computer system for patients for physicians/providers within the Physician practice groups. Schedules appointments for patients by phone. Updates schedules and reschedules appointments as needed.
- Obtains insurance information from patients and documents all information in computer system.
- Receives and collects patient demographic and financial information via phone.
- Maintains scheduling system so records are accurate and complete and can be used to analyze patient/staffing patterns.
- Relays medication refills requests and messages to patients. Obtains information on all scripts to be refilled as well as dosage instructions.
- Relays all messages from the patients to the MD or nurse concerning script dosage changes, allergic reactions to meds prescribed, symptoms possibly related to drug interaction, etc.
- Takes calls from pharmacies relaying information on scripts not accepted by patient’s insurances as well as obtaining alternate medications covered by the patient’s insurances. May refax failed scripts that did not reach pharmacies for patient refills.
- Places requests for prescription prior authorizations.
- Ensures high quality of patient care by managing, controlling, and maintaining patient care information.
- Provides excellent customer service to patients and family members.
- Performs other job functions as assigned or requested.
Education/Formal Training Requirements
- Required - High School Diploma or Equivalent
Work Experience Requirements
- Required - Physician practice office or similar setting to include general business operations, scheduling, and insurance 1-3 years
Knowledge, Skills and Abilities
- Ability to communicate calmly and clearly with patients about appointments.
- Knowledge of insurances and privacy/confidentiality practices, medical terminology and the patient –pre-registration process.
- Knowledge of medical practice protocols related to scheduling appointments.
- Knowledge of computerized scheduling systems.
- Knowledge of customer service principles and techniques.
Supervision Provided by this Position
- There are no supervisory or lead responsibilities assigned to this position.
Physical Demands
- The physical activities of this position may include climbing, pushing, standing, hearing, walking, reaching, grasping, kneeling, stooping, and repetitive motion.
- Must have good balance and coordination.
- The physical requirements of this position are: medium work - exerting up to 50 lbs. of force occasionally and/or up to 25 lbs. of force frequently.
- The Associate is required to have close visual acuity including color, depth perception, and field of vision to perform an activity, such as assessing patients, preparing and analyzing data and figures; transcribing; viewing a computer terminal; or extensive reading.
- Frequent invasive and non-invasive patient contact.
- Exposure to patient body fluids as well as exposure to hazardous or poisonous materials.
- Ability to react quickly to emergency situations.
