What You Do
The Talent Acquisition Specialist manages the full-cycle recruitment process and related employee lifecycle activities for EJF and its affiliate companies. This position serves as the primary recruitment resource for hiring managers and leads recruiting activities from requisition through onboarding, while also coordinating employee offboarding tasks.
The role owns the day-to-day administration and continuous improvement of recruitment, onboarding, and offboarding processes, including the recruitment functions within Paylocity and workflow tracking in our CRM software (Monday.com). Success requires strong organization, attention to detail, discretion, sound judgment, and the ability to manage multiple priorities in a fast-paced, deadline-driven environment while delivering a professional experience to candidates, employees, and hiring managers.
Requirements
Talent Acquisition
- Manage full-cycle recruitment across EJF and its affiliate companies.
- Partner with hiring managers to clarify position requirements, establish hiring timelines, and determine effective sourcing approaches.
- Source, screen, interview, and evaluate candidates; coordinate interviews, selection activities, and candidate communications throughout the hiring process.
- Draft and update job descriptions in collaboration with department leaders to accurately reflect current responsibilities and qualifications.
- Conduct market compensation benchmarking and prepare salary recommendations for review and final approval by the VP of Human Resources.
- Prepare offer documentation and coordinate the offer process after compensation approval.
- Develop and maintain candidate pipelines for recurring and difficult-to-fill positions.
- Ensure a consistent, timely, and professional candidate experience from initial contact through hire.
Recruitment Systems, Workflows & Metrics
- Own and administer the recruitment functions within Paylocity, including the Applicant Tracking System, requisitions, candidate stages, workflows, templates, communications, automations, and related system updates.
- Use Monday.com to manage recruitment workflows, hiring activity, offer milestones, onboarding and offboarding milestones, ensuring visibility, accountability, and timely completion of key steps.
- Develop, maintain, and update standard operating procedures, templates, checklists, and process documentation for recruitment, onboarding, and offboarding.
- Identify and implement practical improvements to recruitment, onboarding, and offboarding processes to enhance efficiency, consistency, compliance, and the candidate and employee experience.
- Maintain and report recruitment metrics, including time-to-fill, source effectiveness, pipeline activity, offer acceptance, hiring status, and other key measures.
- Provide hiring status updates and identify delays, risks, or workflow issues requiring management attention.
Onboarding & Offboarding
- Coordinate the onboarding process, including pre-employment requirements, new-hire documentation, orientation scheduling, and communication with new employees.
- Partner with hiring managers, Information Technology, Learning and Development, and other departments to coordinate technology, system access, equipment, training plans, and other resources before the employee’s start date.
- Track onboarding milestones and follow up with responsible parties to ensure all required steps are completed accurately and on time.
- Coordinate employee offboarding activities, including separation documentation, exit interview scheduling, company property recovery, system-access notifications, and required communications.
- Track offboarding milestones and ensure separation steps are completed consistently across all entities.
- Review onboarding and offboarding processes and recommend operational updates based on experience, feedback, and changing business needs.
Employer Branding & Recruitment Outreach
- Manage job postings across approved job boards, professional networks, social media, and other sourcing platforms.
- Support recruitment branding initiatives and develop recruiting materials that reflect the organization’s employment brand.
- Attend career fairs, networking events, industry events, and other outreach activities related to recruitment and hiring needs.
- Maintain relationships with external recruiting resources, schools, professional associations, and community partners as appropriate.
Compliance & Collaboration
- Ensure recruitment, onboarding, and offboarding activities and documentation comply with company policies and applicable federal, state, and local employment requirements.
- Maintain accurate, complete, and confidential recruitment and employee-transition records.
- Respond to applicant and new-hire questions regarding recruitment, onboarding, and related processes, escalating complex or sensitive matters to the Human Resources Manager.
- Coordinate priorities and workload with the Human Resources Manager and request support from the Human Resources Assistant when additional administrative assistance is needed.
- Perform other related duties as assigned.
Qualifications
Education & Experience
- Bachelor's degree in Human Resources, Business Administration, or a related field preferred; an equivalent combination of education and relevant experience may be considered.
- Three or more years of full-cycle recruitment experience.
- Experience managing multiple concurrent requisitions in a fast-paced environment.
- Experience supporting onboarding and offboarding processes.
- Experience administering an ATS and maintaining recruitment workflows.
- Experience with compensation benchmarking and preparation of salary recommendations preferred.
- Experience using Paylocity or a similar HRIS preferred.
- Experience using Monday.com or a similar workflow, CRM, or project management platform preferred.
- Experience in HR consulting is preferred.
- Experience recruiting in real estate, property management, hospitality, or another service-based industry preferred.

- Strong knowledge of full-cycle recruitment practices and employment requirements applicable to hiring.
- Excellent interviewing, candidate assessment, and relationship-building skills.
- Exceptional organizational and time-management skills, with the ability to manage multiple openings, projects, and deadlines simultaneously.
- Strong attention to detail and commitment to accuracy and follow-through.
- Ability to exercise sound judgment, discretion, and confidentiality when handling sensitive candidate and employee information.
- Clear, professional written and verbal communication skills.
- Strong customer-service orientation and ability to build effective working relationships with candidates, hiring managers, and colleagues.
- Ability to work independently, take ownership of assigned processes, and escalate issues appropriately.
- Ability to adapt quickly to changing priorities and maintain composure in a fast-paced, deadline-driven environment.
- Proficiency with Microsoft Office Suite and comfort learning and using HR, recruitment, and workflow technology.
- Ability to identify process gaps and implement practical, sustainable improvements.
- Demonstrated accountability, initiative, problem-solving, and collaborative teamwork.
Work Environment & Physical Requirements
- This position operates in a fast-paced professional environment and regularly requires managing competing priorities and time-sensitive hiring activities.
- Ability to remain stationary and work at a computer for extended periods.
- Ability to communicate effectively in person, by telephone, and through virtual platforms.
- Occasional travel may be required for career fairs, recruiting events, company meetings, or related business activities.
- Ability to occasionally lift and move materials weighing up to 20 pounds.
