ODS is seeking an Executive Assistant to support the FPS Region 11 front office, including the Regional Director and the Security Director for the St. Elizabeths Campus. The position provides executive administrative, scheduling, travel, correspondence, and stakeholder coordination support in a professional law enforcement environment.Location: St. Elizabeths West Campus – Center Building, 1201 M. Street Southeast, Washington, DC 20003
Salary: $43.42 hourly + H&W $5.09
Responsibilities/Duties:
- Manage executive schedules, coordinate travel arrangements, and provide administrative support for FPS leadership.
- Prepare taskings, briefings, reports, fact sheets, talking points, communications, and outreach materials for the Director’s Office.
- Review work products against relevant policies, programs, and standards; identify issues and opportunities for improvement for the Director and Deputy Director.
- Manage internal and external communications, speaker requests and clearance processes, and senior executive participation in major events.
- Develop charts, memoranda, letters, reporting templates, and standards; review briefings and presentations for accuracy and quality.
- Coordinate tasks across FPS branches and districts, maintain quality control, and support information sharing.
- Research and recommend policy changes through Headquarters taskings and meetings; prepare meeting reports and track assignments and action items.
- Review and edit strategic plans, policy guidance, implementation guidelines, reports, spreadsheets, roles and responsibilities, and organizational charts.
- Operate correspondence management tools to track internal and external tasks; use WebTA, Concur Government Edition, and Microsoft Office applications.
- Provide periodic extended-hours support for mission-critical assignments when authorized through the COR and CO.
Qualifications:
- Minimum of 5 years of progressively responsible administrative, executive support, program support, or related experience, including experience directly supporting senior-level leadership.
- Outstanding organizational, oral communication, and writing skills; ability to represent the front office professionally with stakeholders.
- Capability to use WebTA, Concur Government Edition, correspondence tracking tools, and Microsoft Office applications.
- Ability to manage competing executive priorities, edit complex documents, and coordinate tasks across multiple offices.
- Communicate effectively orally and in writing; interpret and follow policies, regulations, and directives. Use Microsoft Office, including Excel macros, pivot tables, charts, graphs, and simple and complex formulas; support databases and SharePoint as assigned.
- Ability to satisfy DHS suitability and background investigation requirements under HSPD-12 and obtain the required favorable Entry on Duty or fitness determination for unescorted access. U.S. citizenship is normally required for DHS systems access unless DHS approves an exception.
- Work on site Monday–Friday with scheduling flexibility within the 7:00 a.m.–7:00 p.m. core window. Local travel may be required. Alternative work locations require Government authorization.
- Protect sensitive information and possess the knowledge and skills to meet applicable Section 508 accessibility requirements for assigned deliverables.
Education/Certifications:
- Bachelor's degree preferred, not required.
- High school diploma/GED required.
- Relevant experience may substitute for post-secondary education.
