This class is the first level in a four-level Administrative Support Series devoted to providing clerical and office support activities for City functions and staff, which includes administrative office coordination (such as processing budget, procurement, payroll, and human resources transactions), records management, printing/duplexing, and/or routine or specialized administrative support to senior staff and logistical support for programs. Incumbents perform standardized work following prescribed procedures and instructions. There is an established and specified routine to be followed, and decision-making is limited with minimal consequence on overall operations. As assigned work may include processing transactions and monitoring for completeness; maintaining files and records; answering phones; processing incoming and outgoing mail; and providing customer service.
Hourly Rate: $20.06 - $24.38
Workdays/Hours: Monday – Friday / 9:00 am – 3:30 pm
Position provides office and clerical support to the department, including customer service, entering registrations for programs, and performing financial transactions. Incumbent is responsible for staffing the front desk at the assigned facility, or a role with similar responsibilities and level of public interaction.
- Greets visitors, answers phones, and/or fields a wide variety of questions about programs, rentals, and policies.
- Directs calls and emails as appropriate to staff members, provides accurate information, and takes messages.
- Registers customers for programs.
- Assists customers with obtaining literature and promotional materials, and with completing forms.
- Maintains a cash drawer and completes daily financial statements.
- Performs general office functions using business machines, such as copying, faxing, scanning documents, assembling files, laminating documents, drafting reports, and distributing paperwork to staff members.
- Assists with programs in the field such as special events and marketing activities, and with special projects as needed.
- Enters Department survey information, project summaries, and route details into databases.
- Schedules meeting rooms, vehicles, and job interviews.
- Performs proofreading and formatting, creates forms and spreadsheets.
- Addresses reported problems using a variety of systems, such as entering service requests in Cityworks, checking the status of refunds in Munis, and/or investigating errors.
- Performs analysis of provided data sets, such as registrations or participation records.

- Basic computer skills; knowledge of Microsoft Word, Excel, and PowerPoint.
- Experience with ERP systems.
- Payroll processing experience.
- Experience with web-based administrative management, including web content editing, publishing, and routine website maintenance.
