This position performs work related to accounts receivable functions, general operations accounting, passenger revenues relating to fare media sales, order fulfillment, packaging and distribution.Duties & Responsibilities:
ESSENTIAL
- Conducts self in an appropriate manner as a representative of RTD, uses sound judgment at all times, works effectively in a diverse environment, works safely on the job, respects coworkers and assures the quality of services to all customers both internal and external.
- Administers and coordinates in Oracle - Order Management, sales order generation, sales order fulfillment, invoicing, prepayment processing, return material authorization processing and credit application timely for month end and general ledger interfacing. Count, record data and process: *RTD Fare media products: Monthly Passes, Ticketbooks - DayPass, 10Ride, Access-a-Ride, SmartCards - MyRide, ECO & College. *RTD Fare media programs: Monthly Pass Consignment, FlexPass, EcoPass, CollegePass, EZPay, Pass-by-Mail, ValuPass, Non-Profit, Discounted Pass, Online Sales and other miscellaneous fare media products and programs.
- Processes in Oracle – Receivables, daily monetary receipt entry by verifying the general ledger distribution account, deposit monies electronically through bank desktop deposit scanner along with a manual deposit process. Payment applications to specific customer accounts and balancing in preparation for the daily bank deposit. Maintaining deposit logs to validate and reconcile to bank statements prior to closing general ledger.
- SmartCard production & fulfillment through smart media encoders (SME), retail (RPOS) and administration (APOS) point of sales equipment to load contracts and stored value for EcoPass, CollegePass & MyRide cards. Performs Quality Control, packaging, distribution and mailing. Customer service and account research for activity, card deactivation, replacement, balance adjustment, refunds. Utilize various databases to run reports for research, analyze and document validity of customer activity for account adjustments.
- Interacts daily with Non-Profit agencies for pre-paid fare product order pick-up and payment processing.
- Secures and maintains monies, receipted checks, credit card receipts, monthly sales order and invoice files and all receivable records and documentation.
- Reviews and manually records daily sales and receipts from RTD’s treasury and sales outlets, ticket vending machines (TVM’s), ticketbook and monthly pass vending machines. Compiles recorded data into spreadsheets in preparation for subledger transfer at month end. Generates and verifies journal voucher transaction files from appropriate source (invoice/deposit) and creates batches for automated integration to general ledger through the Accounts Receivable system.
- Maintains on-hand fare media product inventory for daily order fulfillment processing and prepares re-stocking orders as necessary from treasury for delivery to Operations Accounting secured vault. Conducts end of month physical inventories of valued fare product.
- Process weekly recordings for Commercial Advertising. Research and communicate data discrepancies with advertising vendor. Conducts a monthly reconciliation of a shared advertising log to the lock box account at month end.
- Analyzes customer accounts, following up on past due accounts, payment collection, disputed balances and customer inquiries.
- Performs general office duties including but not limited to; filing, mailing, use of envelope stuffing / mail sorting equipment, pass counting equipment, typing, answering telephones and providing product to customers which requires moderate lifting (up to 40 pounds).
- Prepares and organizes various special event rolled sales tickets, setup and record spreadsheet for distribution, counts and records returned unused tickets. Reconciles sales, reports and inventory. Maintains special event handheld Point of Sale tablets and printers by preparing equipment for running regular security updates, charging batteries, packaging for ticket seller personnel and sales support.
- Coordinates fare product packaging and distribution, delivery and mailings to external customers and internal sales outlets via internal RTD couriers and external resources.
- Creates MICR orders for Free Ride and Special Service coupon requests and processing to the treasury.
OTHER:
- Performs other job related duties as assigned.
Qualifications:
- Associate Degree from an accredited two-year college or 60 semester hours with emphasis in Accounting, Business or similar discipline.
- Minimum of two years of experience in an accounting related position requiring strong analytical and problem solving skills.
- Knowledge of Generally Accepted Accounting Principles (GAAP).
- Proficient with Microsoft Office Suite, intermediate Excel skills with the ability to develop and use spreadsheets, PC, and financial systems (Oracle and Excel knowledge preferred).
- Ability to perform complex math calculations; operate a ten key calculator, count monies, receipts, inventory and maintain good records and keep documentation organized.
- Ability to multi-task and meet deadlines working proficiently and effectively in a fast paced, high volume environment completing tasks timely and to perform all of these duties with speed and absolute accuracy.
- Ability to communicate effectively, verbally and in writing with customers showing tact, sensitivity and professionalism.
- Ability to interact with coworkers in the spirit of teamwork and to work cooperatively with employees in other departments and perform essential job functions independently with minimal supervision. Also,
- work effectively in a diverse workforce.
- Ability to adhere to and apply RTD policies and procedures and to clear an RTD security check.
PHYSICAL REQUIREMENTS
While performing the duties of this job, the employee is frequently required to sit and talk or hear. The employee is occasionally required to stand; walk; use hands to finger, handle or feel and reach with hands and arms. The employee must occasionally lift and/or move up to 50 pounds. Specific vision abilities required by this job include close vision, distance vision and color vision.
The work environment is a typical office environment with minimal exposure to excessive noise or adverse environmental issues.
