Salary Range: $26.00 to $30.50/hr

 

The University of St. Thomas has provided a salary range that represents its good faith estimate of what the University may pay for the position at the time of posting. The specific salary offered will be determined based on factors such as the qualifications of the selected candidate, departmental budget, internal salary equity considerations, and available market information.

 

JOB SUMMARY

The Student Diversity & Inclusion Services office exists to support, retain and graduate diverse students, as well as provide the campus community with educational programming related to cultural diversity and social justice.  This position functions in public and private ways, serving both as the face of the department to the campus as well as managing the significant behind-the-scenes work necessary for the success of our programs and services.  The position works with both internal members of the university community (faculty, staff, and students) as well as external constituents (family members, local outreach organizations, contractors and vendors, etc.).  Under minimal supervision, this position performs a variety of routine professional and analytical assignments involving the practical application of management principles and techniques to routine operational activities related to program(s).

 

ESSENTIAL FUNCTIONS

Coordinate logistics for all SDIS and DAB programming (REAL, Linkages, Dease, Heritage Month programming, SDIS Educational Programming, and all DAB programming).  Coordinate room reservations, luncheons, banquets, receptions, training sessions, social outings, and workshops.  Develop marketing materials and coordinate communication process with program participants and parents.  Track and process program expenditures. Coordinate the Good Trouble Scholarship Process. Work on Tommie Give Day logistics.  Serve as liaison to University Relations, ITS, Campus Scheduling, and Controllers Office. Serve in the University’s UART committee.

 

Manage all departmental communications (i.e., marketing, social media, website, phone, and email). 

 

Obtain, analyze and summarize data for departmental reports, report findings and make recommendations to supervisor when necessary. Use Salesforce to prepare and run retention reports and track students’ academic progress.  Update and maintain databases and student contact information.

 

Manage SDIS and DAB Operations Budgets.  Draft program contracts, process food services and book store invoices.  Responsible for program charges, purchase card expenditures, and staff and student reimbursements.   Provide quarterly reports to supervisor; identify and recommend strategies for cost reduction.  Attend Cognos FY Planning sessions.

 

Co-Supervise student staff.  Manage compensation budget for student workers and interns; monitor and provide quarterly reports to supervisor.  Work with Professional staff in providing evaluation and development of student staff.

 

Vendor & Contract Management for Cultural Dinners. Provide program operations & vendor coordination, Lead all vendor contracting, coordination, and payment processes for 11+ annual cultural dinners, ensuring seamless operations and timely, accurate compensation. Serve as primary point of contact for vendors (speakers, performers, cultural partners) from outreach through event completion. Coordinate and execute contracts in alignment with university policies and timelines. Ensure vendors are properly onboarded (e.g., W-9, insurance, payment setup) and compliant with institutional requirements.

Manage invoicing, tracking, and follow-up to ensure all payments are processed accurately and on time.

Partner Business Office, and Student Affairs teams to facilitate efficient contract approval and payment workflows. Support the successful execution of cultural dinners by ensuring all behind-the-scenes operational and financial processes are completed.

 

Collaborate with DSA partners in providing support the Division of Student Affairs web pages. Work and develop major marketing materials for internal marketing for the Division of Student Affairs. This includes content for a range of media and formats, including print collateral and publications, signage, advertising, websites, emails, and other projects as assigned.

 

 

QUALIFICATIONS

Minimum Qualifications

  • High School education or equivalent
  • Four years of full-time administrative experience
  • Experience working with racially diverse populations

Preferred Qualifications

  • Experience in Higher Education and in a student service-oriented area
