Position Purpose

Reporting to the Director, Alumni Engagement and Community Partnerships, the incumbent provides operational coordination, systems support, and process oversight for alumni, community partner, and sponsorship-supported engagement activity.

The Senior Coordinator supports the effective delivery of engagement initiatives by ensuring that requests, sponsorship-related actions, and engagement outcomes are logged, coordinated, tracked, and stewarded consistently. The role focuses on intake coordination, workflow management, data integrity, reporting, briefing preparation, sponsorship process support, and recognition follow-through—enabling relationship managers and project leads to focus on strategy, delivery, and relationship-building.

The role manages the administrative, logistical, and systems-related components of engagement and sponsorship processes, including intake, documentation, tracking, recognition, and stewardship support, while ensuring alignment with faculty priorities and institutional standards. The role does not involve solicitation, pitching, or negotiation.


In this role, your responsibilities will include:

  • In collaboration with the Director, Alumni Engagement and Community Partnerships, coordinates operational processes that support alumni and community partner engagement, ensuring activities are tracked, documented, and aligned with faculty priorities.
  • Coordinates and drafts sponsorship agreements and proposal templates, while ensuring stewardship commitments are activated and documented.
  • Manages and monitors engagement pipeline stages and readiness indicators, tracking progression against defined lifecycle stages, internal KPIs, and sector best practices, and provides operational and analytical recommendations to the Alumni Relations and Community Director and Managers.
  • Supports engagement-related initiatives by coordinating alumni and community partner participation, including connecting appropriate contributors (speakers, judges, mentors, advisors, challenge sponsors) with responsible project leads and relationship managers, and ensuring required information is captured for briefing and stewardship.
  • Liaises with internal stakeholders (faculty, staff, student clubs project leads) to support engagement opportunities, ensuring requirements, timelines, and recognition commitments are clearly documented and followed.
  • Manages operational details related to engagement initiatives including briefing packages with profiles, background information and recommended faculty and university priorities that align with the strategy.   .
  • Manages the operational side of awards and recognition processes.
  • Coordinates and supports COOP student activities and task assignments, including onboarding tasks, weekly work planning, and quality control on administrative outputs.
  • Coordinates SWAG inventory control, fulfillment, and simple tracking processes to support recognition, volunteer appreciation, and engagement stewardship.
  • Maintains  SharePoint, Teams and Asana platforms, including file structure consistency, version control norms, task tracking completeness, and visibility of status and ownership.
  • Produces dashboards, summaries, and reports regarding engagement pipeline activity, intake status, awards tracking, sponsorship support, and stewardship follow-through for review by the Director, Alumni Engagement and Community Partnerships and the Managers, as required.

 

What you will bring:

  • Undergraduate degree, or an equivalent combination of education and experience
  • Minimum of three years of experience in administrative coordination, engagement support, sponsorship support, advancement operations, or a related professional environment

  • Proven experience in administration, coordination, and project support
  • Proven ability to synthesize information from multiple sources and operate effectively in a dynamic professional environment
  • Ability to interact professionally with the public, senior officials, faculty members, alumni, and external partners
  • Sound judgement with strong listening, problem-solving, priority-setting, and organizational skills
  • Knowledge of CRM databases (e.g., Raiser’s Edge, Salesforce or equivalent), spreadsheet and word processing software, and the ability to analyze and manage data in computerized systems
  • Demonstrated professionalism and discretion when handling confidential and sensitive information
  • Proven ability to work collaboratively with internal teams, volunteers, and stakeholders
  • Strong written and verbal communication skills in English and French
  • Ability to work occasional evenings and weekends
