Overview
The primary responsibility of this position will serve as the subject matter expert for human resources for hourly employees and to provide financial support to the eight departments of Facilities by assisting in the day-to-day business operations of Facilities.
Responsibilities
Human Resources:
- Coordinates with supervisors to post and advertise hourly positions in both iCIMS and Handshake.
- Assist supervisors with compliance while creating and posting job openings.
- Completes onboarding process for hourly positions including Unified Hiring Form, electronic I-9, self-disclosure form, and setup in AIM.
- Initiates background checks for hourly employees hired in sensitive areas of campus.
- Completes off boarding process for hourly positions including JCTERM and removal from AIM.
- Monitors hours for ACA compliance and notifies employee supervisors on trends or anomalies.
- Performs bimonthly payroll and resolves any discrepancies associated with payroll.
- Handles confidential information effectively.
- Processes quarterly safety incentive gift cards tax forms.
Financial support:
- Performs the daily financial activities such as p-card approvals and reconciliations, journal entries, data entry, and expense account audits.
- Serves as backup for entry of expenses into AIM.
- Assist with daily cash handling procedures.
- Ensures department transactions are properly recorded and processed.
- Communicates with other departments within and outside USU regarding financial matters.
- Helps maintain annual budget using proper accounting/budgeting methods.
Other:
- Manages assigned projects effectively and demonstrates reliability and strong work ethic.
- Performs duties with diligence in accordance with professional standards and enforce University policies and procedures; uses relevant information and individual judgment to determine whether events or processes comply with laws, regulations, or standards.
- Perform miscellaneous job-related duties as assigned
Qualifications
Minimum Qualifications:
- Six years of related work experience; or an associate degree/technical training plus four years of related work experience; or a bachelor’s degree in a business field plus two years of related work experience is required.
- Strong organizational skills.
- Excellent interpersonal abilities.
- Strong written and verbal communication skills.
- Team player who excels at building trusting relationships with customers and co-workers
- Productive worker with solid work ethic who exerts effort in successfully completing tasks.
Preferred Qualifications:
- Experience with onboarding procedures.
- Competent in the use of computer programs including Excel, Windows, Banner, ServiceNow, i9 Tracker, and other applications

- Knowledge of University financial policies and procedures.
- Knowledge of personal computer software and hardware
