San Diego based commercial services company is seeking an experienced Claims & Safety Administrator to join our growing team.
Type: Full-Time
Reports to: Safety Director
Work Location: San Diego, CA
**Must be bilingual in English & Spanish
About the Position
If you’re highly organized, enjoy keeping complex processes moving, and want a role where your work has a direct impact on employees and the business, this could be a great opportunity for you.
As our Claims & Safety Administrator, you’ll work closely with the Safety Director and take day-to-day ownership of the administrative processes behind our workers’ compensation, auto, and general liability claims. You’ll be an important connection point between employees, managers, claims professionals, medical providers, and other partners—making sure information is accurate, follow-up happens, and claims continue moving forward.
You’ll also help keep our broader Safety programs organized and on track, including training records, certifications, new-hire safety documentation, and compliance tracking. This is a hands-on administrative role for someone who takes pride in details, follows through, and knows how to manage multiple priorities without losing sight of the people involved.
In this role, you will:
- Manage the day-to-day administration and tracking of workers’ compensation, auto, and general liability claims.
- Gather incident information, medical documentation, witness information, work status reports, and other records needed to support claim review and administration.
- Coordinate with employees, supervisors, adjusters and third-party administrators, carriers, brokers, medical providers, nurse case managers, legal counsel, and internal teams.
- Track medical appointments, work status and restrictions, return-to-work activity, claim milestones, litigation status, and required follow-up.
- Proactively obtain outstanding documentation and status updates to help keep claims moving efficiently.
- Support return-to-work and transitional duty processes by coordinating information among employees, supervisors, Human Resources, and Safety.
- Prepare claim summaries, status reports, and tracking information that provide clear visibility into open claims and next steps.
- Maintain accurate and confidential claim, medical, employee, and legal records.
- Support Safety Department administration, including new-hire safety orientation records, training and certification tracking, compliance documentation, and completion follow-up.
Requirements
About You
You’re someone who likes creating order, staying ahead of deadlines, and making sure important details don’t fall through the cracks. You communicate professionally and empathetically, particularly when working with employees who may be navigating an injury or claim, and you’re comfortable following up with people at all levels to get the information you need.
You can independently manage routine work while recognizing when an issue needs to be escalated. Just as importantly, you bring good judgment, discretion, and a collaborative approach to a role that regularly involves confidential and sensitive information.
You’ll bring:
- At least 3+ years of relevant claims, workers’ compensation, risk, safety administration, insurance, or related administrative experience; a college degree in business, communications, a social science, or related field is desired, or an equivalent combination of education and experience.
- Bilingual English/Spanish is required.
- Working knowledge of the workers’ compensation claims process and experience with claims administration, document management, recordkeeping, and compliance-related processes.
- Strong organizational skills and attention to detail, with the ability to manage multiple active claims, deadlines, appointments, restrictions, and follow-up items simultaneously.
- Strong written and verbal communication skills and the ability to work effectively with employees, managers, medical providers, claims professionals, legal counsel, and other partners.
- Intermediate proficiency with Microsoft Office and the ability to learn claims management, reporting, training, and other administrative systems.
- The judgment and discretion necessary to handle confidential employee, medical, claim, and legal information appropriately.
- California workers’ compensation experience is preferred.
- Experience supporting construction, property services, or another field-based workforce is a plus.
