About the Opportunity
Welcomes visitors and answers incoming calls in a warm, pleasant, and professional manner. Maintains a clean and neat reception area, handles specific services and tasks as assigned and seeks administrative support as needed.
Critical Success Factors
- Answer and direct incoming phone calls on multi-line phone, taking detailed messages and routing inquiries to the appropriate department or staff member.
- Maintain a welcoming and organized reception area while ensuring confidentiality of patient information.
- Receive, sort, and distribute incoming mail, faxes, and deliveries.
- Prepare, scan, file, and maintain patient records and agency documents in accordance with HIPAA and company policies.
- Monitor and manage office supplies, placing orders as needed to ensure uninterrupted office operations.
- Support clinical and administrative staff by performing data entry, copying, filing, and other clerical duties.
- Coordinate communication between patients, caregivers, clinicians, referral sources, and agency personnel.
- Prepares outgoing correspondence for mailing or faxes information/documents as directed.
- Maintain accurate logs of visitors, phone calls, deliveries, and agency correspondence.
- Assist with new employee onboarding paperwork and administrative document management as assigned.
- Ensure compliance with federal, state, agency, and HIPAA regulations regarding patient privacy and confidentiality.
- Support billing, medical records, and scheduling departments with administrative tasks as needed.
- Manage electronic and paper filing systems to maintain accurate and accessible records.
- Submit/troubleshoot copiers, faxes, postage machine, scanning as appropriate. Responsible for troubleshooting internal software questions/issues via support tickets to appropriate vendors
- Handle sensitive situations with empathy, professionalism, and discretion when interacting with hospice patients and families.
- Participate in agency meetings, training programs, and quality improvement activities as assigned.
- Perform other administrative and customer service duties to support the efficient operation of the Agency.

Preferred Qualifications
- Preferred- High School diploma or GED.
- Must be able to read, write, speak, and understand the English language.
- Excellent customer service and communication skills.
- Knowledge of HIPAA and patient confidentiality requirements.
- Strong organizational and multitasking abilities.
- Knowledge/Experience in general office operations such as multi phone lines, office equipment, etc.
- Proficiency in Microsoft Office Suite and electronic medical record (EMR) systems and computer skills.
- Ability to work effectively in a fast-paced healthcare environment.
- Compassionate and professional approach when interacting with patients and families.
