Fleet Service Writer

Position Summary: 

The Fleet Service Writer, under the direction of the Fleet & Facilities Manager, is responsible for coordinating maintenance workflow, creating and managing work orders, and ensuring repair assignments are prepared before technicians begin their shifts. This position supports both East Yard and West Yard maintenance operations by prioritizing repair needs, monitoring vehicle downtime, tracking labor efficiency, and maintaining accurate maintenance records within Fleetio. The Fleet Service Writer also provides support to the Parts Department as needed to ensure uninterrupted maintenance operations. 

This position is for the 2 pm - 11 pm shift Monday through Friday and every other Saturday.  

Requirements

Essential Functions: 

• Create, manage, and assign Fleetio work orders for East Yard and West Yard operations.  
• Review DVIRs, driver reports, inspections, and maintenance requests to identify repair needs.  
• Prioritize repairs based on safety requirements, operational impact, and vehicle availability.  
• Ensure work orders contain accurate failure descriptions, labor tasks, and parts requirements.  
• Assign work orders prior to technician shift start to maximize productivity and wrench time.  
• Monitor vehicle downtime and provide status updates to maintenance leadership and operations teams.  
• Coordinate repair priorities and workload distribution between maintenance locations.  
• Utilize Motor FleetCross Standard Repair Times when creating and managing work orders.  
• Monitor labor hours and compare actual repair times against established repair standards.  
• Assist Maintenance Supervisors and Lead Technicians by performing maintenance planning and administrative functions.  
• Support quality control initiatives by maintaining accurate repair documentation and tracking repeat repairs.  
• Generate maintenance reports and productivity metrics as requested.  
• Provide parts department coverage during absences, vacations, or staffing shortages.  
• Assist with parts lookups, inventory management, receiving, stocking, and parts issuance activities.  Maintain professional relationships with vendors and internal departments.  
• Perform related duties as assigned. 

Knowledge/Skills/Abilities 

• Ability to navigate Fleetio, Microsoft Office products, and maintenance management software.  
• Knowledge of fleet maintenance operations, repair processes, and vehicle systems.  
• Understanding of standard labor time systems, including Motor FleetCross preferred.  
• Ability to prioritize multiple tasks in a fast-paced maintenance environment.  
• Strong organizational, planning, and communication skills.  
• Ability to analyze maintenance information and make sound decisions regarding repair prioritization.

Education and Experience 

• High School Diploma or equivalent education and experience, required.  
• Two (2) years of fleet maintenance, service writing, maintenance planning, shop administration, or parts inventory experience, required.  
• Experience with Fleetio or similar fleet maintenance software, preferred.  
• Experience utilizing standard repair time systems, preferred.  
• Valid driver's license, required. 

Working Conditions 

This position will work in both office and non-climate-controlled shop environments with extended periods of sitting, standing, walking, and using computer-based systems. Occasional lifting of up to 50 pounds may be required with or without accommodation. The position requires regular interaction with technicians, supervisors, vendors, and operations personnel.
