POSITION SUMMARY

The Administrative Assistant is responsible for key administrative functions across the Department in an efficient and accurate manner. The role requires a high level of discretion in handling confidential infornation, and strong operational planning and communication skills. 

Key Accountabilities Summary

  • Liaise with key internal and external stakeholders (RMIT Departments, Government stakeholders, Suppliers.. etc.) with a high level of professionalism, to arrange and set up meetings.  
  • Coordinate the preparation and professional translation of Government-related correspondence (including but not limited to request letters, official dispatches, meeting minutes, briefings…) to be completed in a timely and accurate manner. Follow up as required. 
  • Provide day‑to‑day coordination support for government events, including pre-event logistics arrangement, on the ground support for event implementation and post-event activities  
  • Manage monthly department administration: contract management, purchase request, expense payment… in Workday system.  
  • Manage department assets and merchandise and maintain document filing and record.  
  • Undertake other executive secretarial tasks as required. 

Key Selection Criteria

  • Minimum qualification of a bachelor’s degree with relevant experience
  • At least 2 years’ experience in a similar role
  • Demonstrated ability to prioritize effectively, manage multiple tasks, meet deadlines, achieve required outcomes, and effectively deliver results.
  • Well-developed interpersonal skills, including stakeholder management, negotiation, and cross-cultural communication.
  • Excellent written and verbal communication skills in both English and Vietnamese.
  • Ability to display appropriate behaviors in line with the position, RMIT Values and RMIT Leadership Model.
