Scope of the role

Provide administrative and HR support to the HR team and site leadership through coordination, documentation and communication.

Key Responsibilities

Administrative Support

• Support coordination of visitors, customers, auditors, and external guests.
• Assist with flight bookings, hotel reservations, taxi arrangements, and travel insurance administration.
• Support meeting room preparation and visitor logistics.
• Assist with catering arrangements and refreshments for meetings, visitors, and audits.
• Support management of office kitchen supplies and beverages.
• Provide general administrative support to the site.

 

HR Administration

• Assist with preparation, printing, scanning, filing, and archiving HR documents.
• Support employee communication regarding HR documentation and required signatures.
• Maintain HR notice boards and communication materials.
• Assist with preparation of employee letters, confirmations, and standard HR documents.
• Support organization and maintenance of employee files and records.

 

Recruitment Support

• Assist with employer branding activities, posters, and recruitment advertisements.
• Support job posting administration.
• Support with initial phone screening of candidates for Direct Labor and Indirect Labor positions.
• Provide support during job fairs and recruitment events.

 

Employee Services Support

• Assist employees with canteen cards, ID cards, parking cards, and related administrative requests.
• Support employees onboarding and offboarding activities.
• Assist with coordination of employee health examinations and related documentation.
• Assist with basic employee relations communication and document distribution.

 

Data & Reporting Support

• Support data entry, data validation, and simple HR reporting.

 

Student Programs Support

• Support administration of the Dual Education Program, including attendance records and documentation for schools.
• Track and submit student attendance records as required.

 

Events & Engagement Support

• Assist with organization of employee events, community activities, and engagement initiatives.
• Support logistics for company events (e.g. Christmas decorations).

 

 

 

Minimum Requirements:

 

• University student (Business Administration, Human Resources, Economics, Psychology, or related field).
• Good organizational and communication skills.
• Detail-oriented with strong administrative skills.
• Good knowledge of Microsoft Office (Excel, Word, Outlook, PowerPoint).
• English language skills are an advantage
