Position Overview: We are seeking a dedicated, compassionate and highly organized Food Allergy Treatment Coordinator to join our team at Modena Allergy + Asthma. The ideal candidate will play a vital role in managing our Oral Immunotherapy (OIT) program, ensuring seamless coordination between prospective and current patients, healthcare providers, and administrative staff. This position requires a proactive individual with excellent communication and organizational skills, as well as a passion for improving patient outcomes in the field of food allergy treatment. This position will be a hybrid in-office role; candidates may choose to primarily be based out of one of our offices in either La Jolla, Solana Beach, Long Beach, or Torrance. Travel between offices and within local Southern California/AZ markets will be required.
Key Responsibilities:
- Follow-up on OIT Leads: Proactively reach out to potential OIT patients, provide information about the program, and guide them through the enrollment process.
- Marketing and Advertising: Develop and implement marketing strategies to promote the OIT program to outside practices, pediatricians, and the general public. Coordinate with marketing team to create promotional materials and manage social media campaigns across digital and physical marketing channels.
- Scheduling Consultations: Schedule initial consultations for potential OIT patients, ensuring timely and efficient appointment setting.
- Customer Service and Education: Provide a high level of customer service to prospective and current patients; become an expert in all things OIT to help answer prospective patient questions and guide them through the enrollment process.
- Scheduling and Follow Up: Manage the scheduling of pre-OIT visits and subsequent OIT updosing appointments, coordinating with medical staff to maintain an organized and effective treatment schedule. Stay in touch with current patients to ensure program long-term program satisfaction and compliance.
- Billing Coordination: Collaborate with billing staff to address patient pricing questions and develop payment plans that align with practice policies. Provide patients with clear information about costs and payment options.
- IT: Help oversee patient-facing OIT app, including community management and troubleshooting and reporting bugs or other issues.
Qualifications:
- Bachelor's degree in healthcare administration, nursing, or a related field preferred.
- Previous experience in a clinical coordinator, sales coordinator or healthcare administrative role preferred.
- Strong organizational skills and attention to detail.
- Excellent communication and interpersonal abilities, comfortable working with families and pediatric patients.
- Proficiency in using electronic medical record (EMR) systems and other healthcare software.
- Ability to work independently and as part of a team across multiple practices in Southern California and Arizona.

Pay: $25.00 - $32.00 per hour
Expected hours: 40 per week
Physical Requirements
Ability to stand, walk, and move throughout the clinic, if applicable, for extended periods; occasionally lift objects up to 25 lbs., bend, stoop, or reach as needed. Frequent use of hands and fingers for patient care and equipment operation. Must have normal (or corrected) vision and hearing and be able to respond quickly in a fast-paced clinical environment, if applicable.
