THE ROLE
The Toledo Complex includes the Huntington Center and the Glass City Center, and this position provides purchasing support across both locations.
The Purchasing Coordinator is responsible for overseeing all purchasing, receiving, and inventory control functions for food, beverage, and operational supplies. This position ensures timely procurement, accurate inventory levels, cost control, and compliance with company policies and regulatory requirements. The Purchasing Manager works closely with culinary leadership, food and beverage teams, and approved vendors to maintain uninterrupted operations while delivering exceptional service standards.
This role requires the ability to forecast inventory needs, negotiate with vendors, manage budgets, oversee purchasing operations, lead staff, and ensure compliance with company guidelines.
ESSENTIAL DUTIES AND RESPONSIBILITIES
- Manage food, beverage, paper, and operational supply purchasing.
- Source, negotiate, and procure liquor, wine, beer, and related beverage supplies.
- Process daily food, beverage, and operational requisitions.
- Create, issue, and manage purchase orders with approved vendors.
- Receive and verify vendor deliveries against purchase orders and invoices.
- Inspect deliveries for accuracy, quality, and any damages.
- Ensure all inventory is properly labeled, stored, rotated, and secured in accordance with food safety and storage standards.
- Maintain an organized, secure, and compliant liquor storage area.
- Maintain accurate purchasing, receiving, inventory, and invoice records.
- File and organize purchasing documentation by department and processing date.
- Assist with month-end inventory counts and inventory reconciliation.
- Monitor inventory levels and proactively forecast purchasing needs.
- Build and maintain professional relationships with approved vendors and distributors.
- Assist with vendor negotiations to maximize quality, service, and cost savings.
- Ensure purchasing activities comply with company policies and all applicable federal, state, and local regulations, including alcohol compliance requirements.
- Follow all safety, security, and loss prevention procedures.
- Partner with the Director of Food & Beverage, Director of Catering, Concessions Manager, Executive Chef, and Finance team on purchasing strategies and inventory management.
- Perform other duties as assigned.

Bachelor's degree preferred.
Minimum of three (3) years of purchasing, procurement, warehouse, or inventory management experience, preferably within sports, entertainment, hospitality, or large-scale food and beverage operations.
Experience negotiating with vendors and managing supplier relationships.
Strong knowledge of purchasing, receiving, inventory control, and cost management practices.
Demonstrated leadership skills with the ability to motivate, coach, and develop team members.
Ability to organize multiple priorities, manage projects, and meet deadlines in a fast-paced environment.
Strong analytical, forecasting, and logistics skills.
Excellent written, verbal, and interpersonal communication skills.
Customer service-oriented with the ability to build positive working relationships across all levels of the organization.
High level of integrity with a commitment to honest and ethical business practices.
Adaptable to changing business needs and able to respond quickly in a dynamic environment.
Proficiency in Microsoft Office Suite, including Excel, Word, and PowerPoint.
Experience with inventory management systems and point-of-sale (POS) systems required.
Ability to develop reports, proposals, and operational recommendations.
LEAD Certification required or the ability to obtain certification upon hire.
ServSafe Certification required or the ability to obtain certification upon hire.
Must be available to work evenings, weekends, holidays, and extended hours as business demands require.
