As part of the team, you will be responsible for the Administration, Facilities, and Workplace Safety & Health (WSH) operations to ensure seamless business continuity across RDM.

[What you will be working on]

  • Facilities & Workplace Safety: Oversee operations and maintenance for divisional offices and storage repositories, primarily at the Library Supply Centre, as well as sites such as the National Archives of Singapore and Former Ford Factory. Manage building maintenance and services, annual exercises, routine checks, Emergency Response Plans, and Workplace Safety & Health (WSH) compliance.
  • Administrative Operations: Manage mailroom services, workspace allocations, meeting rooms, common areas, common office supplies, department’s assets, and staff admin and welfare support. Lead ad-hoc operational efficiency projects by leveraging technology and best practices.
  • Procurement & Financial Management: Handle procurement of goods and services with strict adherence to budget control and contract management.
  • Vendor & Stakeholder Engagement: Manage on-site service providers and build effective working relationships with vendors, landlords, and key National Library Board (NLB) stakeholders.
  • Corporate & Event Support: Facilitate divisional events (e.g., town halls, staff orientations) and coordinate internal and external visits/learning journeys.  
  • Governance & Process Improvement: Ensure strict compliance with statutory requirements and corporate policies. Conduct regular reviews of SOPs to drive continuous operational improvements.
  • Reporting & Committee Support: Analyze operational data for management reporting and contribute to NLB and divisional project committees.

[What we are looking for]

  • Education & Experience: Preferably with background in Estate Management, with at least 3 years of experience in facilities management.
  • Core Competencies: Strong project management, vendor management, and procurement skills with a solid understanding of WSH regulations.
  • Attributes: Meticulous, organized, and proactive, with a proven ability to multitask under tight deadlines.
  • Communication & Tech Skills: Excellent written, verbal, and interpersonal communication skills; proficient in Microsoft Office. Adaptable to working both independently and collaboratively.
