At a Glance:
The Senior Leave Coordinator oversees the administration of employee leave programs, ensuring compliance with federal, state, and company policies. This role serves as a subject matter expert for complex leave cases, provides guidance to team members, collaborates with HR and management, and helps improve leave administration processes to deliver a positive employee experience.
What you will do:
Administer and manage complex employee leave cases, including FMLA, ADA accommodations, disability, workers' compensation, military leave, parental leave, and state-specific leave programs.
Review and approve leave requests while ensuring compliance with applicable laws and company policies.
Provide guidance to employees on accrual rules and time off balances.
Maintain accrual adjustments due to transfers to other positions/roles.
Manage year-end time accrual changes/adjustments.
Serve as the primary escalation point for complex leave-related issues and employee inquiries.
Partner with HR, Benefits, Payroll, managers, healthcare providers, and third-party administrators to coordinate leave and return-to-work processes.
Monitor leave cases to ensure timely follow-up, documentation, and case resolution.
Maintain accurate employee leave records and ensure data integrity within HRIS systems.
Analyze leave trends and prepare reports for leadership to support workforce planning and compliance.
Develop, update, and communicate leave policies and standard operating procedures.
Identify process improvement opportunities to enhance operational efficiency and employee satisfaction.
Support internal and external audits related to leave administration.
Ensure confidentiality of employee medical and personal information.
What you need:
Bachelor's degree in Human Resources, Business Administration, or a related field (preferred).
5+ years of experience in leave administration, HR operations, benefits, or employee relations.
Strong knowledge of FMLA, ADA, USERRA, state leave laws, workers' compensation, and disability programs.
Experience using HRIS systems (e.g., Workday, ADP, UKG).
Professional HR certification (SHRM-CP, SHRM-SCP, PHR, or SPHR) is preferred.
Advanced knowledge of leave administration and employment laws.
Strong analytical and problem-solving abilities.
Excellent communication and conflict resolution skills.
Leadership, coaching, and mentoring experience.
Exceptional organizational and time management skills.
Ability to manage multiple complex cases simultaneously.
High attention to detail and confidentiality.
Advanced proficiency in Microsoft Office, particularly Excel, and HR technology systems.
