SUMMARY
The International Shipping Coordinator is responsible for coordinating international shipments from the United States to customers in Europe and Canada, ensuring products are delivered accurately, efficiently, and in compliance with all applicable import and export regulations. This role prepares export and customs documentation, coordinates shipments with freight forwarders, customs brokers, and transportation carriers, and monitors shipments from dispatch through delivery. The International Shipping Coordinator works closely with the Sales and Customer Service teams to provide shipment updates, resolve logistics issues, support customer requirements, and ensure a seamless order fulfillment process. Working collaboratively with internal departments and external logistics partners, this position helps ensure timely customs clearance, successful delivery, and a high level of customer satisfaction. The ideal candidate has experience with international shipping processes, export documentation, and cross-border logistics, along with strong organizational, communication, and problem-solving skills.
ESSENTIAL DUTIES & RESPONSIBILITIES
- Coordinate international shipments from the United States to customers in Europe and Canada.
- Prepare and review all required export documentation, including:
- Commercial Invoices
- Bills of Lading
- Packing Lists
- Certificates of Origin
- Shipper's Letters of Instruction (SLI)
- Coordinate shipments with freight forwarders, customs brokers, parcel carriers, and transportation providers.
- Monitor shipments from origin through final delivery and proactively resolve delays or customs issues.
- Ensure compliance with U.S. export regulations and destination country import requirements.
- Communicate regularly with Sales and Customer Service regarding shipment status, customer requests, and delivery timelines.
- Maintain accurate shipping records and documentation within the ERP system.
- Work with warehouse personnel to ensure orders are prepared accurately and shipped on schedule.
- Identify opportunities to improve shipping efficiency, reduce costs, and enhance customer satisfaction.
- Support daily shipping and warehouse operations, including order processing, packaging, carrier coordination, shipment preparation, and other shipping department responsibilities when international shipping activities are not required.
Requirements
REQUIRED EDUCATION/EXPERIENCE
- High school diploma or equivalent required; Associate's or Bachelor's degree in Supply Chain, Logistics, Business, or a related field preferred.
- 3–5 years of international shipping or logistics experience.
- Demonstrated experience shipping from the United States to Canada and European countries.
- Experience preparing export documentation, including Commercial Invoices, Bills of Lading, Packing Lists, Certificates of Origin, and Shipper's Letters of Instruction (SLI).
- Working knowledge of customs documentation, international shipping regulations, and Incoterms.
- Experience coordinating shipments through UPS, FedEx, DHL, and at least one international freight forwarder.
- Proficiency in Microsoft Excel and ERP systems.
- Manufacturing or distribution experience preferred; commercial printing experience is a plus.
- Strong organizational skills with exceptional attention to detail.
- Excellent verbal and written communication skills with the ability to interact effectively with customers, carriers, customs brokers, and internal departments.
- Ability to prioritize multiple shipments and deadlines in a fast-paced environment.
- Strong problem-solving and customer service skills.
- Ability to work independently while contributing effectively as part of a team.
