This work unit exists to perpetuate the wildlife resources of the State, to provide a quality State Parks system, and to provide enjoyable and sustainable outdoor recreation opportunities that educate and inspire current and future generations to serve as active stewards of Colorado’s Natural Resources. The Agency’s long range and strategic plan will be executed by providing outstanding customer service, as well as safe, quality recreational opportunities for visitors, while effectively managing the natural resources and facilities of Highline Lake State Park.
This position exists to provide customer service at Highline State Park in regards to Park reservations, amenities and operations, fishing, hunting, and watchable wildlife; Interpret rules, regulations, and brochures; Sell licenses, state park passes and registrations to the public; Manage a variety of Visitor Center programs including retail sales, group area reservations and website/phone communications; Coordinate front office operations including recruiting, hiring, scheduling and training of temporary employees and volunteers; Provide administrative assistance to the Park Manager V with an emphasis on accounting and financial record keeping while managing special projects.
Accounting
Accurate completion and processing of documents including all aspects of finance pertaining to Park operations, Park Manager V and unit staff. Pays accounts payable by coding, completing and correction of documents for CORE entry. Establish, administer and monitor financial processes, including verification of all coding information to assure compliance with fiscal procedures, delivery of designated goods and services and timely payment of vendors; Research payments and communicates both internally and externally, and makes independent decisions for problem resolutions; prepare and review receiving reports, verify accuracy of vendor invoices, tax Ids and addresses; One card allocation and SARA app reconciliation for all Park staff; Design and monitor checkbook spreadsheets to record and track all expenditures of the cost center.
First contact for Public/Customers/Agencies who works directly with park visitors to answer questions about park amenities and operations. Determines customers' needs and decides what actions are needed and how to handle requests.
Duties include answering technical questions regarding camping, reservations, licenses, registrations, hunting, fishing and outdoor recreation in person, over the phone and via email. Articulately conveying substantial information about agency laws, regulations, and procedures, while providing all facets of park, wildlife and outdoor recreation information. Assists Park Manager to market the park’s facilities, programs, activities, and special events.
Manages the park’s public information systems to include website, phone system, and social media accounts. Coordinate public use of the Visitor Center and associated programs, including group picnic/camping reservations, meeting space for civic groups, as well as, working with Visitor Center volunteers and the Park’s Friends Group.
Reservations and Licensing
Management of reservations and License Agency for the Park by organizing and establishing work processes to facilitate functionality and effectiveness of reservations, parks passes, license sales, and registrations, and implementing guidelines and objectives prescribed by agency mission and statutory regulation; Screening documents and supporting information to determine authenticity and eligibility for parks passes, hunting or fishing license purchases; Sell licenses, parks passes and registrations to the public; Stringent application of regulations to aid in prevention of license/pass holder violations.
Financial
Functions as the primary cashier for the park by creating and maintaining accurate accounting records, including weekly reconciliation and deposits; sends validated supporting documentation to Denver Headquarters; Accurate processing sales transactions through the Integrated Parks and Wildlife System (IPAWS). Establish office cash handling procedures to ensure accurate documentation of all sales processed through IPAWS and credit card machines. Reconciliation is performed on all transactions, using supporting documentation; Determines amount of change on hand to ensure availability for customers, and allow effective flow of sales.
Supervision
Supervise approximately 10 temporary positions and up to 20 volunteers, as budget allows. Train, supervise, and evaluate temporary employees and volunteers. Delegate routine and project-oriented tasks. Evaluate and schedule job shifts, account for wages, and complete weekly inspections. Confer with other unit leaders (Maintenance, ANS, Rangers) on operational issues. Utilize “Management by Walking Around” style to ensure program quality and clarity. Complete hiring and exit interviews.
General Office
Create and revise office procedures and write procedure manuals, design forms and general office record keeping systems; Maintain office equipment; Ensure adequate availability of supplies by effectively monitoring inventory; preparation and processing of outgoing mail. Establishment and coordination of cleaning specifications and to ensure proper cleaning and maintenance of park facilities. Based on office procedures, develops and tracks calendars of Park Manager V to assist with efficient and timely completion of work tasks. Establishes record keeping, office procedures and criteria for information storage and dissemination, which ranges from public brochures to confidential materials. Monitors request for materials to determine future needs. Modifies or suggests modifications to brochures and other public materials to improve their functions as customer service tools. Sets priorities on request. Changes office procedures as needed. Daily monitoring of inventory to ensure adequate supplies are available for both internal and external customers. Ensures adequate coverage in the front office at all times. Facilitates the recruitment, hiring, training and scheduling of temporary employees and volunteers.

- Three (3) years of relevant experience in Accounting, Finance, Program or project management, Administrative Assistant, Front Desk, Call center, office environment, project management, handling of money, project management, or retail management or experience related to the work assigned to this position. At least 6 months of experience MUST have included experience providing direct information/customer service in a high-volume administrative support role,

At least 6 months of experience MUST have included experience providing direct information/customer service in a high-volume administrative support role,
