CrowdRx Program Specialist

Full Time Opportunity

Starting Annual Salary of $70,000

Location: San Francisco, CA

 

The Program Specialist is the primary point of contact for customer facing and internal support. As the on-site leader for the medical team on tour, this team member organizes staffing models, coordinates regional resources and supports the on-site team’s clinical efforts. Responsible for coordinating activities of a project team, identifying appropriate resources needed, and developing schedules to ensure the timely completion of the project. Must be familiar with business or operational scope and project objectives as well as the role and function of each team member, to effectively coordinate the activities of the team. Communicate with local operators (EMTs, supervisors and coordinators) and senior managers regarding the status of specific projects.

 

Essential Duties and Responsibilities:

  • Assist in defining project requirements and scope, obtaining approvals, and creating project plans, resource allocations, and cost estimates.
  • Ensure project requests align with company goals and resolve ambiguities among team members.
  • Coordinate project activities and resources to meet timelines and budgets.
  • Support project documentation, including requirements, schedules, communication plans, staffing, status reports, and budgets.
  • Consult with leadership on project proposals, goals, timelines, funding, staffing, and resource allocation.
  • Fulfill On-Duty Supervisor responsibilities.
  • Fulfill any schedule gaps when needed.
  • Assist with ordering supplies and logistics for the operations.
  • Recruit, assign, and match project personnel duties as needed.
  • Report project status and issues to leadership and stakeholders.
  • Manage and implement project changes and control processes.
  • Monitor project outcomes for contract compliance and review vendor proposals.
  • Participate in project and planning meetings; facilitate requirements meetings.
  • Track and manage project progress, assets, and post-incident data using tracking software and EHR/CAD systems.
  • Communicate project status, issues, and risks to stakeholders and support cross-functional teams.
  • Create and maintain project schedules and budgets, and coordinate with local business units or outside vendors for additional resources.
  • Operate with clinical teams and provide on-site leadership at events or remotely; travel as needed to support operations.

Non-Essential Duties and Responsibilities:

Minimum Qualifications:

Education/Licensing/Certification:

  • High school diploma or GED required.
  • Unrestricted driver’s license
  • Bachelor's degree preferred.
  • EMT/EMTP or RN certification by time of appointment required.
  • BLS CPR Certification required.
  • ICS: 100, 200 and 700

Experience:

  • 1+ years of experience in project management or business operations.
  • Demonstrated experience with operations, administrative and clinical scope of practice

Knowledge and Skills:

  • Collaborative, customer-focused and able to create visible value.
  • Basic knowledge of cost and budgetary controls procedures.
  • Basic knowledge of data analysis and Microsoft Excel, Google Suite, and Smartsheet. 
  • Basic working knowledge of vehicle mechanics and electrical systems.
  • Demonstrated skill in the successful completion of multiple, simultaneous, and rapidly emergent tasks.
  • Basic working knowledge of two-way radio communications systems.
  • Ability to plan projects, including cost, personnel and equipment needs.
  • Ability to analyze operations and organize their parts into a logical system.
  • Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations. 
  • Ability to write reports, business correspondence, and procedure manuals.
  • Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the public.
  • Effective oral, written, and interpersonal communication skills.
