Description
The Operations Specialist is also responsible for providing training in their area of expertise to department and partner team members.
The Operations Specialist (Special Operations Team Coordinator) administers and coordinates data and tracking systems associated with the team’s functions, including but not limited to emergency deployments, calendars, fleet, equipment, and volunteer hours. This position serves as the primary coordinator of team files and data management for the daily tracking of mandated reporting and serves as the point person for grant paperwork files and team work files.
This role provides emergency deployment support through management of state and county volunteer deployment notifications and serves in key roles within the County EOC assignment in coordination with the Emergency Management Team.
Available 24/7 for deployment. Includes hours outside of standard business hours.
- Tracking and coordination of resource requests. (Daily Task)
- Record maintenance for equipment, fleet, and volunteer tracking. (Daily Task)
- Maintain all mandated records and data for team deployments as indicated by specific grant, local, state, and/or federal requirements. (Daily Task)
- Train, coordinate, support, and function with volunteer and paid partners and teams. (Weekly Task)
- Attend required meetings and represent the Department as a subject matter expert. (Weekly Task)
- Support emergency deployments and messaging. (Monthly Task/PRN)
- High school diploma or General Education Degree (GED).
- Extensive data management and reporting experience required.
- Familiarity with Emergency Management or response.
- Pennsylvania driver’s license in good standing.
- ICS 100, 200, 700, and 800.
- Emergency Vehicle Operations Certificate (EVOC).
- Aptitude for volunteer management software.
- Virtual meeting software, including Microsoft Teams and Zoom.
- Familiarity with JUVARE.
- Knowledge of Microsoft Word, Excel, and PowerPoint.
- Able to stand, walk, sit, reach above shoulders, work with arms above shoulders, and bend at the waist.
- Kneeling, stooping, crouching, and squatting.
- Working with emergency response machinery, including lighting and generators.
- Work indoors in an office environment shared with other staff most of the time.
- Occasionally meet with partners from other agencies.
- Occasionally work outdoors in adverse or emergency-scene situations.
