Manager of Rehabilitation Aides  


Department: Residential Services 


Immediate Supervisor: Director of Clinical Services 


Positions Supervised: Rehabilitation Aides 


Status: Exempt 


JOB SUMMARY: 

The Manager of Rehabilitation Aides provides leadership and oversight of Rehabilitation Aid services across Residential Services, supporting safe, structured, and effective client care. This position directly supervises and develops the Rehabilitation Aid Team and maintains overall accountability for RA staffing, training, performance, and departmental operations. The Manager works collaboratively with Medical Unit staff, counseling staff, and other departments to address client care and operational needs and ensure appropriate staffing patterns based on census and program needs. The Manager ensures Rehabilitation Aid services are provided in accordance with organizational policies, state statutes and rules, CARF standards, and applicable federal regulations, including HIPAA and 42 C.F.R. Part 2. Positively represents the organization and promotes Rimrock’s Mission to the community. 

ESSENTIAL FUNCTIONS: 

Develop and maintain professional working relationships that promote leadership development, emotional intelligence, accountability, teamwork, and professional growth within the Rehabilitation Aid department. 

Provide direct supervision, coaching, support, and performance management to the Rehabilitation Aide staff. 

Communicate and collaborate with Residential Services leadership, department coordinators, Medical Unit staff, counseling staff, and other departments to support coordinated client care and effective residential operations. 

Maintain overall oversight of Rehabilitation Aid staffing and ensure appropriate staffing patterns and coverage are maintained based on census, client needs, and operational demands. Monitor overtime utilization and staffing trends and work with the Rehabilitation Aid staff to address identified concerns while maintaining safe and appropriate staffing levels. 

Provide oversight of recruitment, interviewing, orientation, onboarding, training, and competency development for Rehabilitation Aid staff, working through and supporting the Rehabilitation Aid staff. 

Monitor Rehabilitation Aid staff performance and provide guidance to the Rehabilitation Aid staff regarding coaching, accountability, employee development, and performance concerns. 

Hold regular departmental and supervisory meetings to communicate expectations, address operational needs, review departmental performance, and support continued staff development. 

Provide oversight of departmental administrative functions, including Paylocity responsibilities, scheduling processes, departmental meetings, RA manual updates, employee evaluations, email distribution groups, PSOs, orientations, trainings, and other required departmental processes. 

Review significant incidents, unusual events, emergencies, client concerns, employee concerns, and operational issues, ensuring appropriate reporting, follow-up, and escalation in accordance with Rimrock policies and procedures. 

Monitor Rehabilitation Aid operations across Residential Services and identify opportunities to improve consistency, communication, client safety, staff performance, and quality of services. 

Ensure Rehabilitation Aid services and departmental practices adhere to organizational policies, state statutes and rules, CARF standards, and applicable federal regulations, including HIPAA and 42 C.F.R. Part  

Support the development and maintenance of Rehabilitation Aid competencies, training expectations, procedures, and departmental standards. 

Participate in quality improvement activities, regulatory and accreditation preparation, leadership meetings, and organizational initiatives as assigned. 

Perform other duties as assigned.

May participate in quarterly budget reviews with the Director of Clinical Services to avoid budget variances.

Models and promotes effective written and verbal communication within the Rehabilitation Aid department and across multidisciplinary teams.

 EDUCATION/TRAINING: High school diploma or GED required. A minimum of four years of relevant experience in behavioral health, residential services, human services, or a related setting is required, including at least two years of supervisory or leadership experience. An equivalent combination of education, training, and relevant experience may be considered. Must demonstrate knowledge and skills necessary to effectively work with individuals with substance use disorders and provide leadership within a residential treatment environment. Knowledge of crisis intervention and de-escalation techniques is required. 


CERTIFICATE OR LICENSE: Current CPR and First Aid certification required. Must possess and maintain a valid Montana driver’s license, an acceptable driving record, and insurability under the organization’s insurance carrier. 

 

SKILLS: Strong interpersonal, written, and verbal communication skills with the ability to build effective working relationships with individuals at all levels of the organization. Demonstrates emotional intelligence, self-awareness, sound judgment, and the ability to understand and respond appropriately to the needs of different stakeholders. Ability to provide clear direction, develop staff, support supervisory leadership, and collaborate effectively with multidisciplinary treatment teams. Demonstrates strong problem-solving, conflict-resolution, and decision-making skills, including the ability to consider multiple factors and remain objective. Must possess empathy and knowledge of individuals with substance use disorders and be able to support recovery-oriented and strength-based approaches to client care. Ability to prioritize competing responsibilities effectively for self and department. Proficiency with Microsoft Word, Excel, Outlook, and other electronic systems used in departmental operations. 


PHYSICAL DEMANDS: Work is performed in both administrative and residential treatment environments with moderate noise levels. The position requires a combination of sitting, standing, walking, bending, reaching, and frequent use of a computer and keyboard. Intermittent physical effort involving lifting, carrying, pushing, or pulling up to 25 pounds may be required. The position requires the ability to move throughout Residential Services locations, respond to operational or emergency situations as needed, and communicate effectively with clients, staff, and other team members. Normal vision, hearing, and communication abilities are required, including close vision and the ability to adjust focus. 

 

WORK ENVIRONMENT/JOB LOCATIONS: Work is performed across Residential Services locations, including administrative offices, client care areas, sub-acute medical care areas, and personal or organizational vehicles used for client transport. The position involves routine exposure to the everyday risks and discomforts associated with residential treatment environments and requires adherence to established safety precautions and organizational procedures. Some outdoor exposure may occur when supporting client supervision or recreational programming. The Manager may be required to respond to operational needs at various Rimrock facility locations.
