Personal Assistant (PA) to the Director of Nursing
Part Time – 20 hours weekly │Permanent

We are seeking a highly organised, professional, and proactive Personal Assistant to the Director of Nursing to provide comprehensive administrative and operational support within Bon Secours Care Village, Lee Road, Cork.
The successful candidate will work closely with the Director of Nursing and management team, ensuring the effective coordination of meetings, documentation, reporting, communication, compliance activities, rostering, and day-to-day administrative requirements.
The role requires excellent organisational and time-management skills, a high level of accuracy, discretion when handling confidential information, and the ability to manage multiple priorities within a busy healthcare environment.
The Personal Assistant will demonstrate the highest standards of confidentiality, professionalism, resident dignity, and data protection while coordinating and providing administrative support to Bon Secours Care Village.
Responsibilities of the role:
- Provide comprehensive administrative and management support to the Director of Nursing and nursing management team.
- Manage diaries, meetings, agendas, minutes, action logs and follow-up of agreed actions and deadlines.
- Prepare and maintain monthly KPI reports, quarterly CPC reports, presentations, audits and other management information.
- Draft, format and proofread correspondence, reports, policies, procedures and other documentation.
- Coordinate the review, distribution and updating of policies and risk assessments, including maintaining records on Q-Pulse and MEG.
- Assist with staff access administration, clinical rosters, payroll processes and related records using relevant systems.
- Provide reception and front-of-house support, including dealing professionally with residents, families, visitors, staff and external professionals.
- Maintain accurate and organised electronic and paper-based filing and document management systems.
- Support the effective management, filing, archiving and retrieval of residents’ medical and clinical records, ensuring confidentiality and compliance with data protection requirements.
- Assist with inspections, audits, reviews, training, meetings and quality improvement activities.
- Liaise with nursing staff and relevant departments to ensure information, documentation and administrative tasks are completed accurately and on time.
- Maintain strict confidentiality and professional standards when handling resident, staff and organisational information.
- Undertake other administrative and operational duties as required by the Director of Nursing or management team.
The ideal candidate will have:
- Previous experience in an administrative, personal assistant, executive assistant, or healthcare administration role.
- Excellent organisational and time-management skills with the ability to meet deadlines.
- Strong communication skills, both written and verbal.
- High level of accuracy and attention to detail.
- Ability to handle confidential information with discretion and professionalism.
- Strong IT skills and confidence using Microsoft Office applications.
- Ability to work independently and as part of a multidisciplinary team.
Desirable Experience:
- Previous experience working in a nursing home, healthcare, or social care environment.
- Experience supporting senior management.
- Familiarity with healthcare systems such as Epicare, Softworks, Q-Pulse, or MEG.
- Experience with medical records administration, audits, compliance documentation, and quality systems.
