Sequoia is growing and looking for experienced, compassionate Hospice Office Specialist to join our team!
SUMMARY
The Hospice Office Specialist is responsible for coordinating all office activities including payroll, onboarding, medical records, preparing for all meetings, coordinating all telephone calls and maintaining sufficient office supplies. The Office Manager is responsible for overseeing office teams such as intake, scheduling, and authorizations as well as working with Human Resources on employee time sheets, personnel records and acts as a billing liaison.

Pay Range: $24 - $34 per hour
DUTIES & RESPONSIBILITIES
- Prompt data entry for all employee information into system and back-up to employee responsible for logging of visits pertaining to payroll.
- Maintains current contracts on contracted personnel for payroll purposes.
- Prompt data entry for all employee information into software for payroll and deduction purposes.
- Communicates effectively on the telephone with patients, families and staff.
- Answers incoming calls and forwards to appropriate staff person or takes a message if the person is not available.
- Welcomes and assists all guests.
- Manages incoming, outgoing and interoffice mail.
- Performs typing, faxing and coping tasks as requested for various staff persons.
- Participates in and assists with community activities, i.e., health fairs, conventions, community education programs, etc. as assigned by Program Director, Director of Clinical Services and/or Administrator.
- Promotes and lives the organization’s core values and acts as a cultural champion.
- Inputs data into computer for billing purposes.
- Submit accounts payable information and maintain a system to ensure invoices are submitted and paid on a timely basis.
- Orders and maintains accurate records of medical equipment and supplies.
- Maintains accurate mailing lists of employees; patients; volunteers, Medical Directors, physicians and nursing facilities and forwards any changes to the Corporate Office.
- Coordinates new employee onboarding process.
- Manages office team including intake, scheduling, authorization, and medical records
JOB REQUIREMENTS
- 3+ years in working in a medical setting, preferably in home health
- 1+ year in a leadership role in the healthcare setting
- 1+ year of payroll experience.
- Prior EMR experience, home care home base is a plus
- Ability to exercise discretion and independent judgment and demonstrate good communication, negotiation, and public relations skills.
- Demonstrated capability to accurately manage detailed information.
- Able to deal tactfully with patients, family members, referral sources and payers.
- Previous healthcare related billing experience.
- Word processing skills
- Personal computer skills
