Job Description:

The Property Manager is responsible for the day-to-day operational management of buildings and parks to ensure high tenant satisfaction, stable cash flow, and long-term asset value growth and owns the tenant relationship and commercial outcomes (incl. satisfaction).



The Property Manager ensures that tenant relationships are proactively managed, and all operational services (including facility management, suppliers, and internal stakeholders) are coordinated to deliver best-in-class customer experience, protect income, and safeguard the owner’s interests in line with company policies and business objectives.

Responsibility for managing and ensuring the proper operation of buildings and parks

• Plan, schedule, and oversee preventive maintenance programs
• Responsibility for H&S and fire security in parks
• Facility Management supervision (inspections, building supervision, removal of faults, either via FM company or
• individual suppliers
• Review, prioritize and resolve incoming maintenance requests. (ticketing)
• Manage day-to-day building operations (lighting, heating, cooling, security systems) to ensure buildings are safe
• and compliant
• Processing warranty claims to general contractor(s)
• Internal process of taking over tenant space after construction is finished and/or over tenant space which moved
• out and new is moving
• Cleaning supervision - general cleanliness, greenery management, snow/ice removal in winter, control of snow
• cover thickness on the roof during rainfall
• Supervise repairs, renovations, and facility upgrades. (organize minor construction works)
• Take over works from Suppliers
• Security supervision - physical security, traffic management in park, parking correctness (in parks where it
• applies)
• Ensure building certifications and licenses are up to date

Procurement

• Organization, preparation and participation in tenders for subcontractors
• Communication with supplier

Financial

• Preparing calculations of Service charges for new Tenant in cooperation with BizDev
• Issuing of PO's
• Review and approve vendor invoices based on the approval thresholds (Group -> local agreement/application)
• Approving of product received
• Develop and manage facilities budgets (utilities, maintenance) OPEX
• Track and control facility-related expenditures
• Plan and forecast for future facility needs (CAPEX)
• Monitor utilities usage and find ways to reduce consumption. Monthly reconciliation

Administrative Tasks

• Utilities reinvoicing to Tenants Finance
• Maintain facility records (maintenance logs, floor plans, compliance documents). Data mngt.
• Prepare reports for senior management (facility performance, cost reports, etc.)

Insurance

• Insurance claims settlement

ESG reporting

Communication with Tenants

• Supporting BizDev during the visits of new potential Tenants to CTP space
• Focusing on customer needs => communication with Tenants
• Respond with information & advise to the tenants
• Customer's subject of the lease alteration management
• Supporting customers projects and internal audits
• Organizing customer events
