Position Overview 

Our Global End-User Digital Experience team within Global Technology Services is responsible for delivering high-quality executive and corporate event experiences across State Street's global enterprise. We are seeking an experienced and highly organized Audio Visual Executive Events Manager to lead the planning, production, and execution of executive meetings, town halls, webinars, leadership broadcasts, client events, and hybrid collaboration experiences. 

The successful candidate will serve as the primary technical and operational lead for executive events, partnering directly with business stakeholders, senior leadership, communications teams, event planners, and technology teams to ensure events are professionally delivered from planning through post-event reporting. 

This individual must possess strong expertise in Microsoft Teams, Zoom Meetings, Zoom Webinars, enterprise video conferencing technologies, event production workflows, and executive support. The ideal candidate thrives in fast-paced environments, demonstrates exceptional attention to detail, and remains calm and effective during high-visibility events.

Primary Responsibilities 

Your primary responsibilities will be threefold: 

1. Executive Event Planning & Coordination 

Serve as the primary Audio Visual lead for executive and enterprise events, partnering with requestors to define requirements, establish event workflows, and ensure event readiness. 

Responsibilities include: 

  • Reviewing Executive Event Requests and consulting with event organizers. 

  • Coordinating executive meetings, town halls, leadership forums, client events, and virtual broadcasts. 

  • Scheduling Zoom Meetings, Zoom Webinars, Microsoft Teams Live Events, and Teams Town Halls. 

  • Reviewing in-room technology requirements with business stakeholders. 

  • Coordinating event logistics, room readiness, and technology requirements. 

  • Managing event timelines, milestones, and stakeholder expectations. 

  • Establishing presenter roles and responsibilities for each event. 

  • Coordinating dry-runs, rehearsals, and speaker preparation sessions. 

  • Creating and managing event communication channels in Microsoft Teams. 

  • Working closely with Communications, Facilities, Catering, Security, and Workplace Services teams. 

2. Event Production & Technical Delivery 

Own the technical execution and delivery of executive events from start to finish. 

Responsibilities include: 

  • Performing pre-event room and system health checks. 

  • Connecting Teams Rooms and Zoom Rooms to scheduled events. 

  • Testing presenter, panelist, and remote participant connectivity. 

  • Managing event launches and live production activities. 

  • Producing webinars and broadcasts including:  

  • Video layouts 

  • Spotlighting 

  • Content sharing 

  • Speaker transitions 

  • Attendee management 

  • Q&A moderation 

  • Poll management 

  • Recording management 

  • Monitoring audio, video, and network performance during events. 

  • Providing real-time technical support to presenters and executives. 

  • Managing escalations and issue resolution during live events. 

  • Ensuring recording disclaimers and compliance requirements are properly addressed. 

  • Supporting both onsite and hybrid meeting experiences. 

3. Operational Excellence & Service Improvement 

Drive continual improvement of executive event services, processes, and technologies. 

Responsibilities include: 

  • Delivering post-event recordings, transcripts, chat logs, poll results, and reporting packages. 

  • Maintaining event documentation, runbooks, and production standards. 

  • Managing event support queues and responding to service requests. 

  • Performing root-cause analysis for event-related incidents and service disruptions. 

  • Identifying recurring issues and developing preventative measures. 

  • Evaluating new event technologies and production capabilities. 

  • Creating and maintaining technical procedures and knowledge articles. 

  • Partnering with vendors and service providers to improve event delivery. 

  • Supporting enterprise standards for executive collaboration experiences. 

 

Event Requestor Coordination 

The Audio Visual Executive Events Manager will guide event organizers through required planning activities, including: 

  • Confirming event objectives, audience size, and event format. 

  • Reserving appropriate meeting and event spaces. 

  • Coordinating room setup requirements. 

  • Coordinating catering requirements where applicable. 

  • Creating and distributing attendee and presenter invitations. 

  • Scheduling event rehearsals and speaker practice sessions. 

  • Collecting presentation materials, videos, and poll content. 

  • Ensuring presenters understand event procedures and expectations. 

  • Reviewing event run-of-show documentation prior to production. 

 

Required Skills & Experience 

  • Expertise with Microsoft Teams, Teams Rooms, Zoom Meetings, and Zoom Webinars. 

  • Experience producing executive-level meetings, town halls, webinars, and hybrid events. 

  • Strong understanding of enterprise audio visual technologies and room systems. 

  • Experience supporting executive stakeholders and high-visibility business events. 

  • Knowledge of audio, video, streaming, recording, content sharing, and presentation workflows. 

  • Experience with webinar moderation, audience engagement tools, and event analytics. 

  • Strong troubleshooting and incident management skills. 

  • Demonstrated experience performing root-cause analysis and service improvement initiatives. 

  • Ability to communicate effectively with both technical and non-technical audiences. 

  • Strong organizational skills with exceptional attention to detail. 

  • Experience creating production runbooks, technical documentation, and event procedures. 

  • Ability to manage multiple concurrent events and priorities. 

 

Preferred Skills & Qualifications 

  • 5+ years of experience supporting executive events, AV operations, broadcast production, or collaboration technologies. 

  • Experience supporting C-suite executives and senior leadership events. 

  • Working knowledge of Crestron, Q-SYS, Biamp, Shure, Logitech, Neat, Cisco, Poly, Jabra, or similar enterprise AV technologies. 

  • Familiarity with enterprise networking concepts as they relate to collaboration platforms. 

  • Experience using Microsoft 365 collaboration tools and reporting capabilities. 

  • CTS, CTS-D, Microsoft Teams Rooms, Zoom, or related industry certifications preferred. 

  • Bachelor's degree or equivalent experience in Information Technology, Communications, Audio Visual Technology, Digital Media, Event Production, or related field.

The ideal candidate demonstrates the same ownership mentality, technical expertise, composure, and attention to detail required to successfully support State Street's executive events. They naturally take responsibility for event success, proactively identify risks before they become issues, maintain strong relationships with stakeholders, and consistently deliver a polished meeting experience for presenters and attendees alike. They are equally comfortable meeting with senior executives, troubleshooting technical issues minutes before an event, managing live productions, and documenting improvements that enhance future event delivery. 

Salary Range:

$80,000 - $140,000 Annual

The range quoted above applies to the role in the primary location specified. If the candidate would ultimately work outside of the primary location above, the applicable range could differ.
